Job Description

DEFINITION
Under the direction of the assigned administrator, the Police Services Assistant performs a variety of administrative support duties requiring knowledge of police records systems while also accepting payments and providing customer service.
ESSENTIAL FUNCTIONS, DUTIES, AND TASKS
The following list of functions, duties, and tasks is typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform other closely related or department-specific functions, duties, and tasks from those set forth below to address business needs and changing business practices.
  • Answers inquiries from the public, directs customers to appropriate staff members and takes messages.
  • Sorts and distributes mail; files documents and orders supplies; files confidential information.
  • Schedules meetings, appointments, facility tours, and hearings.
  • Accepts cash, checks, and credit cards for payment, enters data to post transactions, and prepares pre-deposit documents for the same.
  • Types, transcribes, proofreads, and processes a variety of police-related documents: reports, memos, and general correspondence, sex, drug, arson, and gang offender registrants.
  • Reviews reports and citations to ensure all information is correct.
  • Processes livescan fingerprint cards, citations, and court paperwork and enters applicable data.
  • Researches and prepares statistical reports.
  • Registers drug and other offenders in databases. Enters case information, scans, and uploads all documents into the database.
  • Prepares reports and paperwork for the district attorney's office or the courts; drives weekly to deliver reports and citations to the district attorney's office and the courts; and serves as a court liaison.
  • Coordinates activities and information with agencies and individuals, including but not limited to the California Highway Patrol, parole, probation, insurance companies, and attorneys.
  • May appear in court.
  • Performs matron duties.
  • Sorts, files, copies, and distributes reports.
  • Releases reports and related information to the public and outside agencies as directed.
  • Maintains computer files on multiple automated systems.
  • Responds to emails from officers, other agencies, and representatives from the District Attorney's office.
  • Performs other related duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES

Knowledge of:
  • Standard law enforcement office procedures, methods, and computer equipment
  • Basic cashiering and fiscal record-keeping
  • Proper English grammar, punctuation, sentence structure, and spelling
  • Techniques used in dealing with the public and customer service
  • Filing principles and practices Skills and Abilities to:
  • Operate office equipment, including computers, calculators, telephones, copying machines, cash registers, paper shredders, and equipment such as law enforcement teletypes and radios
  • Accurately type and tabulate data at 35 words per minute minimum.
  • Accurately perform basic mathematical calculations
  • Plan and organize work to meet schedules and timelines
  • Communicate effectively in the English language at a level necessary for efficient job performance Operate a vehicle to travel between locations for business purposes
  • Maintain accurate records
  • Relate well, communicate, and work effectively with diverse groups of stakeholders who represent a range of ethnic, cultural, and socio-economic backgrounds
JOB QUALIFICATIONS / REQUIREMENTS

EDUCATION AND EXPERIENCE
Any combination of education and experience that would provide the required knowledge, abilities and skills is qualifying. A typical way to obtain the qualifications would be:
  • High school diploma or equivalent and two (2) years of general office experience.
LICENSE(S)
REQUIRED
  • Valid state-issued Driver's License and a good driving record.
CERTIFICATIONS AND TESTING REQUIRED
  • Peace Officers Standards and Training (POST) Certification within one year of appointment.
  • Certification as a records clerk within one year of appointment.
WORK ENVIRONMENT / PHYSICAL DEMANDS

  • This position works primarily in an indoor office environment.
  • Positions in this class typically require: reaching, standing, walking, pushing, pulling, lifting, grasping, talking, hearing, seeing, and repetitive motions with or without reasonable accommodation.
Medium Work:
exerting 20 to 50 pounds of force occasionally (up to 1/3 of workday), and/or 10 to 25 pounds of force frequently (1/3 to 2/3 of workday), and/or greater than negligible up to 10 pounds of force constantly (2/3 or more of workday) to move objects. Physical demand requirements are in excess of those for Light Work.
