Job Description:
The Department of Medicine (DOM) is seeking a finance professional to support departmental fiscal operations. This role supports the finance and fiscal areas within the Department of Medicine and is responsible for supervising DOM Shared Services team, assist with annual budget development and complete monthly financial reporting tasks. This position will serve as an approver for accounts payable and provide cross training of SSC and Finance team. The incumbent will be required to develop training materials and create presentations for department fiscal teams. The ideal candidate will possess strong interpersonal and personal skills as this position interacts with various levels of staff both internal and external to the Department of Medicine. Essential Functions; Fiscal Operations Supervision and Compliance Supervise the Department of Medicine's fiscal shared services team responsible for processing all operating expenses. Oversee high-volume and complex fiscal transactions including PCard activity, vouchers, journal entries, and travel, as well as contracting and purchase orders for major capital acquisitions. Serve as a subject-matter resource to staff on fiscal compliance issues. Partner with the Finance Manager on Internal Audit responses, corrective action plans, and follow-up activities. Proactively monitor transactions across divisions to identify compliance risks, training gaps, and process improvement opportunities. Ensure all fiscal transactions are completed accurately and timely, and serve as a back-up processor as needed to maintain uninterrupted operations. Departmental Liaison and Fiscal Resource Serve as a liaison between the shared services unit and division administrators, fiscal, grant, and personnel staff. Communicate fiscal updates, policy changes, and procedural guidance; and support divisions with questions related to databases, reporting tools, and standard office software. Apply and interpret University financial policies and accounting directives across multiple fund types, including E&G appropriations, grants, and Direct Support Organizations (DSOs), in accordance with University and FCPA accounting standards. Correspond regularly with divisional fiscal staff and PCard holders to ensure adherence to University and departmental fiscal policies. Budget Coordination and Analysis Assist with the coordination of the department's annual budget development and budget entry process. Analyze budgeted versus actual funding and expenditures, and make updates to funding distributions as necessary. Prepare and provide financial data, analysis, and reporting to supervisors and leadership to support budget planning, forecasting, and decision-making. Policy Communication, Reporting, and Training Develop reports and presentations related to new University of Florida policies and financial procedures for dissemination to the shared services team and departmental fiscal staff. Maintain current knowledge of UF fiscal processes and requirements; create and update departmental procedure guides and documentation. Provide onboarding, training, and ongoing support to new divisional fiscal personnel to ensure consistent application of departmental processes and best practices. Other Duties Perform other duties as assigned in support of departmental and institutional goals.
Expected Salary:
$61,000 - $69,700
