Job Description

Associate Director, Student Accounts (Internal Applicants Only) Posting Details Position Information Title Associate Director, Student Accounts (Internal Applicants Only) Department Summary Student Accounts Office has oversight of all financial records and transactions for all current and former students. The office is responsible for timely and accurate billing, collection and accounting for all student related revenues, payments and receivables: receipt of student loan disbursements and issuance of refund checks in compliance with Federal Title IV Cash Management regulations. Position Summary The Associate Director of Student Accounts assists in the planning and direction of all student accounts office (SAO) receivables and collections activities at Bridgewater State University (BSU). Assists in the management of all SAO functions including student billing / tuition and fee assessment, cashiering, disbursement of federal, state, and BSU financial aid and scholarship programs, and timely request of student refunds. Monitors and manages delinquent collection balances, manages third party vendors/ billings, and reconciles several SAO related financial activities. Provides leadership and oversight to the department staff, and is responsible for ensuring high quality customer service, assisting in the development and implementation of policies and procedures, and maintaining regulatory compliance. Occasional evening and/or weekend work required during peak times.
Supervision Received:
The Associate Director works under the direct supervision of the Director of Student Accounts.
Supervision Exercised:
Exercises supervision of various professional, non-professional and student personnel in Student Accounts. Serves as the first line supervisor for professional staff in Student Accounts. Essential Duties 1. Assist the Director of Student Accounts in the planning, organization and administration of all Student Account activities including advising, student billing and collection. 2. Provides supervision, training, and development to the professional staff in Student Accounts Office. 3. Plan and delegate work based on departmental operational calendar and deadlines; use technology such as TouchNet, Ellucian Banner and Argos to establish reports and optimize efficiency. 4. Directs the review of special circumstances and appeals from students; conducts individual meetings with students and parents; provide the counseling to students, parents and other interest parties regarding matters involving student accounts. Serves as supervisor for any service related issue or complaint, particularly ensuring satisfactory resolution of problems escalated to the administrative level. 5. Monitor federal, state and local regulations as they relate to student accounts, to ensure university compliance and modify policies, procedures and internal controls. 6. Coordinates the design, writing, editing and evaluation of publications; web information and communications campaigns. 7. Represents student financial services and the university at campus meetings and outreach programs (in office, campus and the community) including presentations and committee representation. 8. Administer the TouchNet payment system which includes payment plan set up, term management and accurate billing and payment capture. 9. Serves as the technical liaison for Student Accounts including diagnosing and resolving system irregularities, communicate resolution to appropriate parties and oversee system testing on both Ellucian Banner, TouchNet uCommerce platform and other third party integrated systems. 10. Primary liaison and contact to supply documents, schedules and info to external auditors, federal and state agencies. 11. Act as designee in the absence of the director and assists overseeing the daily operations of Student Accounts Office. 12. Assists Director of Student Accounts with various accounting and SAO reports and projects as required; other duties as assigned. Required Qualifications 1. Bachelor's degree in business/accounting/finance or closely related discipline. 2. Five years of experience in Student Accounts or related field. 3. Minimum of four years of supervisory experience. 4. Strong attention to detail, analytical capability and professional judgment are required. 5. Strong problem-solving and negotiation skills. 6. Strong organizational and time management skills; ability to identify and set priorities; and meet deadlines in a fast-paced work environment. 7. Ability to work independently. 8. Strong work ethic, positive problem-solving attitude and enthusiasm for a collaborative working environment. 9. Ability to effectively deal with sensitive fiscal issues and maintain confidentiality at all times. 10. Excellent oral and written communication skills. Preferred Qualifications 1. Masters or advanced degree preferred. 2. Knowledge of Banner Accounts Receivable and Banner Finance or similar enterprise resource planning (ERP) system to analyze data and prepare reports. 3. TouchNet cashiering experience. 4. Demonstrated knowledge of higher ed principles, practices and procedures as they relate to student account operations. 5. Knowledge of federal and state policies regarding financial aid. 6. Knowledge of credit and collection principles, processes, regulations and standards. 7. Proficiency in Microsoft Excel and Word, with a demonstrated ability to execute tasks such as mail merges.
