Job Description
POSITION DESCRIPTION
The Greenville Department of Public Safety is looking for a reliable, confidential full-time Administrative Clerk. They will have the responsibility to perform highly sensitive clerical tasks, process administrative and clerical details, handle routine administrative matters, assist in recording and transcribing Public Safety Officer reports, interact with the public and conduct other related clerical tasks as required.SUPERVISION RECEIVED
Work is performed under the supervision of the Director of Public Safety, Deputy Director of Public Safety, and the Executive Assistant.JOB RESPONSIBILITIES
Adhere to strict confidentiality while performing all administrative tasks. Answering the telephone and directing the calls to the appropriate personnel, provide appropriate materials or directions for information requests. Transcribe dictations for reports, edit reports, enter supplements and required paperwork/videos into both theGDPS RMS
system and County Prosecutor system. Prepare correspondence for City warrants by preparing reports and all documents, then emailing them to the City Attorney. Entering all correspondence from City Attorney, Montcalm County Prosecutor's Office, MSP Laboratory, and other documents into the necessary report systems. Maintain a report log of all county and city warrant requests, approvals, and denials. Maintain confidential records, files and reports. Maintaining necessary training requirements through LEIN. Understanding MIPistol, entering data, verifying eligibility to purchase a firearm, and knowing parameters to deny. Verifying and updating sex offenders through the Michigan Sex Offender Registry, according to current Michigan Law. Handle minor FOIA processing. Entry of parking citation into RMS, as well as BS&A. Using the Livescan system for fingerprinting needs, as well as rolling regular fingerprint cards. Maintaining a paper filing system in an organized and orderly fashion. Assist with coordinating public relations and community events. Emailing correspondence to officers.REQUIRED QUALIFICATIONS
Attention to detail for all work projects and outputs. Understanding the need for confidentiality yet still performing as a positive team member within the employee environment. Maintain a warm, professional demeanor in a fast-paced, demanding work atmosphere. Interface smoothly and effectively with all levels within the municipality and community to ensure an open, informal communication path exists. Have the ability to work effectively with employees and the general public. Have reasonable knowledge of the public safety concept employed within the Greenville and Eureka Township areas. Show positive support for the organization and the membership; acts with integrity and in a professional manner, as to uphold the standing of the organization and other team members. Demonstrate considerable knowledge of Microsoft Office applications. Demonstrate comfort with a computer and its functions. Possess knowledge of modern office practices and procedures. Demonstrate considerable knowledge of business English, commercial subjects and report writing. Possess skill in the operation of a computer and other office equipment and in taking and transcribing dictation. Ability to understand and follow written and oral instructions. Be competent in prioritizing and working with little supervision. Show self-motivation. Be able to pass a background check to department specificationsPREFERRED QUALIFICATIONS
An Associate's Degree in a related field to Criminal Justice or Business Management is desirable. Twenty-four months' experience working in transcribing police or other detailed reports, maintaining criminal justice records, using Law Enforcement Information Network (LEIN), and a general understanding of the court system, is preferred. Other experience working with computer systems, data entry, and public relations may be taken into consideration in lieu of the above-listed desired and preferred qualifications.HOURS & JOB TYPE
This position works 8 hours a day, with hours of either 8 AM•4 PM or 9 AM•5 PM. The individual in this position must be prepared to adjust working hours for special projects or answer calls or text messages for office support during the off hours (time is compensated for these calls). There is the possibility of being called into work for uploading reports and documents for the Prosecutor's Office on weekends if necessary.COMPENSATION
Annual salary range: $38,000•$40,000 a year, depending on experience and qualifications. The City of Greenville offers an excellent benefits package and retirement plans.RESUME & APPLICATION
