Job Description

Under general supervision, position performs National Crime Information Center (NCIC) activities including assisting in preparation of confidential criminal and civil documentation; conducting background checks; maintaining Detention Center criminal histories and other personal and criminal information files; serves as Terminal Agency Coordinator (TAC) in coordinating required renewal of certifications of systems of NCIC; coordinates the civil process and documents, instate inmate transports, and processes Writs to include subpoenas, lock-outs, summons, and restraining orders; performs a variety of other administrative duties in assigned area;; and performs other duties as assigned.
Education and Experience:
High School Diploma/GED Certificate and four years of broad general office, records management, communications, data entry, and customer support experience; prefer experience in dealing with confidential information and records.
Required Licenses or Certifications:
Valid New Mexico Driver's License; and National Crime Information Certification (NCIC) and State NMNCIC Certification. Runs inmates through NCIC to check for any outstanding warrants before they are released; receives requests from Officers to run warrant checks and criminal histories through NCIC; if justified, sets up case file number and notifies requesting officer that reports are ready for release. Runs and maintains Detention Center employee, contracted employee, and vendor criminal history files; secures files to ensure integrity and confidentiality are not compromised; receives list of current employees and updates employee files including terminating employees, adding new employees or updating employee information as needed; shreds all documentation requested from NCIC once it is no longer needed according to records retention and disposal procedures. Prepares and prints monthly criminal history reports and compares the documentation in the files to ensure all documentation is accurate and available and no errors were made in processing; errors are noted and reports are signed and dated and attached to the documentation and returned to file. Serves as Inmate Support Program Coordinator acting as a liaison coordinating outside organization's schedules and volunteers; ensures all volunteers have NCIC background checks and PREA code of Ethics training in compliance with Federal PREA Standards before entering; maintains background files annually; coordinates with all Inmate Support Programs to remove inactive volunteers from the program and maintain list for facility staff of all current qualified visitors; tracks all visitors and contact with detainees within the secure area of the facility to insure the safety and security of the facility is maintained. Coordinates with outside agencies and behavioral health entities to ensure all visitors within the facility have required NCIC background checks and PREA training in compliance with Federal PREA Standards before entering. Receives or distributes information from other agencies and the public as requested and according to established protocol to be used for investigations, sex offenders, or any other confidential information requested or needed. Performs customer service duties in assigned area including handling requests for information and copies of reports, providing information on filing legal orders, directing people to the appropriate court of jurisdiction and/or appropriate staff person of department; processes civil documents; sets up in-state inmate transports to and from court and/or from one jail to another; sets up lockouts and maintains and monitors civil documents; creates a variety of manuals and procedure guidelines including civil process manual; trains and cross trains staff in assigned area; Performs a variety of administrative duties in assigned area including maintaining all criminal and civil reports; prepares, schedules, and maintains other assigned records and files; types a variety of correspondence, memos, forms, and reports; prepares case files; prepares statistical reports; sorts and distributes mail while maintaining the chain of custody; performs data entry and updates into databases; prepares billing for contracts; schedules appointments. Performs other job-related duties as assigned.
SUPERVISION RECEIVED AND EXERCISED
Supervisor varies by position. This position does not exercise supervision over lower level staff.
