  • Job Summary This is an intermediate management position charged with responsibility for facilitating and overseeing internal operations of Jury Services and the Civil Court Division of the Administrative Office of York County Courts.
The Coordinator is responsible for executing and enforcing policies established by the Deputy Court Administrator. The Coordinator operates with a moderate degree of independence in the execution of daily responsibilities. This position is supervised by, reports to and acts upon authority delegated by the Chief Court Administrator. York County offers a competitive wage and benefit package. Responsibilities Reports to the Chief Court Administrator. Assists the Chief Court Administrator to develop policies, procedures and regulations. Suggest streamlined approaches to Civil case and work flow, trouble-shoot issues; provide prompt courteous and professional service at front filing counter and over the phone. Fields questions from attorneys and pro-se litigants to comply with the state and local rules of Civil procedure. Develops, implements and constantly evaluates quality control measures. Identify opportunities to streamline and automate workflow processes and information exchange within the division including keeping the procedures manual of current and up to date and provide updates to the office manager. Temporarily performs essential duties of the Chief Court Administrator in their absence. Processes verbal, written and online requests to be excused or deferred from jury service Coordinates jury panel requests and creation of jury pools. Maintains consistent communication between chambers and the District Attorney during trial terms. Processes juror reimbursement. Complies with AOPC reporting requirements for jury usage and state reimbursement to the County for juror costs. Screens applicants, interviews, trains and assigns work to jury pool tipstaves; coordinates and monitors schedules and ensures appropriate coverage for per diem tipstaves assigned to courtrooms. Coordinates and schedules usage of courtrooms, hearing rooms, multi-purpose rooms and conference rooms; coordinates equipment and technology resources in the judicial Maintain confidentiality Other duties as may be assigned. Must possess the ability and the equipment to work remotely, if deemed necessary and job duties permit. Essential Requirements High School Diploma or equivalent required; associate's degree in business administration preferred. Two years of administrative experience in a related department or three years of administrative experience in a comparable environment. Substantial knowledge and understanding of the laws, rules and procedures governing work flow and case flow within a Court environment or Judicial Administration. Considerable knowledge and understanding of the organization, functions, jurisdiction and authority of the Court-appointed and related departments and agencies with specific focus on Civil/Family. Proficiency in the use of automated information and case management systems and applications, such as (or similar to) CPCMS, MDJS, Laserfiche, the Prothonotary Database, MS Word, MS Outlook and MS Excel. Thorough knowledge of the Court Calendar. Thorough knowledge of Jury Management Software (JMS) Ability to recognize, understand and describe complex court processes, and to dissect those processes into separate steps and procedures and to make decisions about document routing, scheduling issues and attorney and pro se litigant questions. Ability to think independently in solving work-related problems. Ability to work effectively and efficiently under stressful conditions. Ability to establish and maintain effective and cooperative working relationships with judges, attorneys, staff and the general public Exercise good judgement, proven customer service skills, tact and courtesy.
