$45,000.00 - $55,000.00 per year Job description: Baltic Food Distributing is a food and beverage distributor based in Countryside, IL. We supply independent and chain grocery stores and retailers across Illinois and surrounding states. Our operation is fast-paced, hands-on, and focused on reliable service and efficient logistics. We are seeking a highly organized and dependable Administrative & Purchasing Assistant to support both purchasing and daily operations. This role is split between coordinating orders with suppliers and managing delivery routing and office support tasks. You will play a key role in ensuring product availability, accurate order processing, and efficient delivery execution. This position requires strong attention to detail, the ability to multitask, and comfort working in a fast-paced environment. This is a full-time, in-office position. Key Responsibilities Purchasing & Supplier Coordination Coordinate and place purchase orders with suppliers based on internal needs and inventory levels Communicate with vendors regarding order status, availability, and delivery timelines Track incoming shipments and ensure timely delivery to the warehouse Arrange transportation and logistics for inbound purchase orders Work with internal teams to manage out-of-stock items and substitutions Maintain accurate records of purchase orders and vendor communications Routing & Operations Support Convert sales orders into invoices and ensure proper delivery scheduling Review and organize daily delivery routes for drivers to maximize efficiency Adjust routes based on order volume, geography, and delivery constraints Collaborate with warehouse and sales teams to align daily priorities Identify and resolve routing or delivery issues proactively Office & Customer Support Answer incoming calls and take customer orders over the phone Respond to customer inquiries regarding products, pricing, and deliveries Enter and maintain accurate data in internal systems Assist with report pulling and general administrative tasks as needed Requirements Ability to work in a fast-paced, high-volume environment Strong organizational and multitasking skills High attention to detail and accuracy Excellent communication skills, both phone and email Strong computer skills and ability to quickly learn new systems Ability to prioritize tasks and problem-solve under pressure Professional, proactive, and team-oriented attitude Preferred Experience (Not Required but Strongly Valued) Experience in purchasing Experience with order entry, invoicing, or routing Experience working with vendors or coordinating shipmentsJob Type:
