Role Description:
DABOS, Inc. is seeking a Purchasing Administrative Assistant who will be responsible for supporting the purchasing operations of the organization by assisting with vendor communication, purchase order management, inventory support, and supplier coordination. This role helps ensure products and materials are purchased accurately, cost-effectively, and delivered on time to support business operations. The Purchasing Administrative Assistant works closely with suppliers and internal departments to maintain smooth purchasing processes and resolve day-to-day purchasing issues. The ideal candidate is organized, detail-oriented, and able to work effectively in a fast-paced environment.
Responsibilities:
Create and process purchase orders accurately and on time. Communicate with vendors regarding pricing, product availability, lead times, and shipment updates. Track open orders and follow up on delayed or back-ordered items. Maintain accurate purchasing records, supplier information, and documentation. Assist in sourcing products and identifying alternative suppliers when needed. Coordinate with internal departments regarding purchasing requirements and order status. Review and verify order confirmations, invoices, and shipment details. Support inventory replenishment activities and purchasing schedules. Resolve basic purchasing and supplier-related issues in a timely manner. Assist with maintaining vendor relationships and ensuring professional communication. Ensure compliance with company purchasing policies and procedures.
Qualifications and skills:
High school diploma or GED required Previous purchasing, procurement, administrative, or customer service experience preferred Basic knowledge of Microsoft Office Suite, including Excel and Outlook Strong communication and organizational skills Attention to detail and accuracy in data entry and record keeping Ability to multitask and prioritize workload effectively Basic problem-solving and analytical skills Ability to work independently and within a team environment Professional attitude and willingness to learn
