Job Description

Duties Description The Office Assistant 2 assigned to the Central Supply Unit will ensure mail is delivered to residents and the separate departments. The incumbent will work with the Nursing Team to maintain inventory at par levels in Central Supply. They will be responsible to change products over to new items while ensuring compliance with all MSDS (Material Safety Data Sheets) to make sure they are on file. The Office Assistant 2 will keep inventory and fill housekeeping supply room and unit supply rooms for residents. They will keep inventory and fill Urological supplies for residents. The Office Assistant 2 will review and order supplies needed Just-in-Time, including special orders for new residents. They will receive products daily for the facility and complete Purchase Orders in the receiving systems. Receive and send products for the residents via UPS and FedEx. They will complete paperwork in the receiving process with data entry. The incumbent will work with Oxygen supplier to get Preventative Maintenance done on O2 equipment while maintaining inventory as needed. They will keep yearly physical inventory of supplies facility wide and keep track of total cost. The Office Assistant 2 will assist with setting up new beds including special orders as directed by medical staff. They will change out toner cartridges on printers and copy machines in the facility and supply copy paper to printers and copy machines in facility. They will assist all units with purchases as needed and manage PPE (Personal protective equipment) inventory and reporting to Department of Health and Health Facilities Management.
Minimum Qualifications Reassignment and Transfer Candidates:
Current New York State Department of Health employee with permanent or contingent permanent service as an Office Assistant 2, Grade 9; OR current New York State employee with one year or more of permanent or contingent permanent, competitive service in a title eligible to 70.1 transfer to Office Assistant 2, Grade 9.
Promotional Provisional Appointment:
In the absence of an eligible list with three or more candidates willing to accept a position, a provisional appointment may be considered. For provisional appointment, candidates must meet one of the following minimum qualifications: Be a current NYS Department of Health employee with one year of permanent competitive or 55-b/55-c service as an Office Assistant 1, Grade 6, or Office Assistant, Clerical, or Keyboarding title allocated to a Grade 6 or higher.
