The Purchasing Assistant supports the procurement, inventory, and supply functions of the hospital. This role plays a critical part in ensuring that departments have timely and accurate access to the supplies and equipment necessary for patient care and operational efficiency. The position requires consistent communication with vendors, internal staff, and leadership to maintain smooth supply chain operations in a rural healthcare environment.

Essential Functions and Responsibilities:

Process purchase orders in accordance with hospital procurement policies and approved vendor contracts. Monitor open orders and confirm shipment and delivery timelines with vendors. Communicate with internal departments to clarify supply needs and respond to requisition requests. Assist in maintaining accurate inventory counts and participate in periodic physical inventory audits. Maintain accurate and timely documentation of all purchasing transactions. Ensure proper documentation and authorization for purchases above established thresholds. Support sourcing initiatives and provide backup coverage for other supply chain roles as needed. Protects organization's value by keeping information confidential. Must complete yearly physical requirements.

Knowledge, Skills and Abilities:

Ability to perform mathematical computations quickly and accurately. Ability to operate office equipment. Maintains self-motivation and sustains a high level of momentum. Able to successfully prioritize when faced with requests, demands and deadlines. Knowledge of customer service concepts. Must be extremely detail oriented and able to perform accurate and thorough recordkeeping. Ability to communicate effectively in English, both verbally and in writing. Proven ability to work as part of a team, in a fast-paced production-oriented environment.
