Job Description
Bloodworks Northwest is backed by more than 70 years of Northwest history and 250,000 donors. A national leader in transfusion medicine, Bloodworks has been chosen to serve more than 90 hospitals in Washington, Oregon and Alaska - partnering closely with local hospitals to deliver the highest level of patient care. Patients with traumatic injuries, undergoing surgeries or organ transplantation, or receiving treatment for cancer and blood disorders all depend on our services, expertise, laboratories and research. We are local, nonprofit, independent, volunteer-supported and community-based. We have a new job opportunity for a Purchasing Assistant to join the Material Management team. The incumbent, under the direction of the Materials Manager, provides administrative support to Materials Management personnel to enable them to procure and control the necessary supplies, services, and equipment for the safe and timely operation of Bloodworks. Principal responsibilities of this role include, but are not limited to: Work independently, providing administrative support to the Materials Manager, Buyers, and Inventory Analyst. Provide advance notice of pending capital purchases to departments and assigned buyers, including all required forms and documentation. Maintain critical/qualified vendor electronic and hard copy files. Maintain hard copy general vendor files. Maintain departmental material data sheet (MDS) files Serve as the point person for assigned vendors where additional hands-on administration is required. Maintain records of current Group Purchasing Organization (GPO) / Vendor affiliations, as well as GPO pricing. Maintain Materials Management training records. Assist in the maintenance of computerized catalogs for departments. Notify appropriate departments of product recalls. Maintain records of recall outcomes. Provide data entry and assist with reconciling the month-end warehouse and department site inventories. Assist Buyers on behalf of the absent Buyer as required. Comply with all applicable Standard Operating Procedures (SOP) as written. Perform other duties as assigned.
REQUIREMENTS
EDUCATION & EXPERIENCE:
High school graduate or G.E.D. In addition, 1-2 years of experience providing administrative support to management and professional personnel. Experience with Microsoft Dynamics Great Plains software (preferred). Specific job skills include, but are not limited to: Must be highly organized, able to multitask, and work under pressure to meet established deadlines and service goals consistently. Highly customer service-oriented. Possess good technical writing skills. Outstanding telephone customer service skills. Ability to work under stress and handle interaction with vendors and Bloodworks employees in various departments and of varying levels of responsibility using judgment, tact, and diplomacy. Must be able to work effectively in a team environment. Ability to work independently without continuous direct supervision. Strong attention to detail. Functional proficiency with MS Office applications.Shift:
Part-time (24hrs/Wk) Working conditions include: Position requires extensive close work, extensive computer monitor work (continuous), and extended hours (rare). Work can be performed in an office environment. Ability to work scheduled holidays and weekends is required. As this position has indirect responsibility to patients, the incumbent should be prepared to work extended hours and/or possibly at a different location during periods of inclement weather. Refer to Human Resources policy or management for more information. This position has indirect exposure to bloodborne pathogens. Telecommuting ability is a frequent condition of this role.Benefits and Perks:
