Full Job Description Responsibilities:
Scheduling & confirming appointments for recurring service work, service calls, and repair work Arrange schedules for a team of technicians using scheduling software, ensuring efficient allocation of resources. Confirm appointments with customers and provide necessary access instructions. Coordinate with customers to confirm appointments and gather any specific requirements or instructions. Ensure technicians have the correct equipment and information before leaving for daily appointments. Provide exceptional customer service via phone and email, addressing inquiries, scheduling changes, and resolving issues promptly and professionally. Process payments, handle billing inquiries, and manage invoicing for services rendered. Follow up on outstanding invoices and support collections efforts as needed. Answer phones and provide assistance as needed, including relieving the reception desk during breaks or absences. Perform filing and data entry tasks to maintain organized records and ensure accuracy of information. Support technicians in the field by troubleshooting issues and providing necessary assistance. Coordinate service calls and repairs, prioritizing tasks based on urgency and customer needs. Communicate effectively with other departments to schedule multiple technicians with different expertise as needed.Requirements:
Previous experience in scheduling or customer service roles preferred for multiple technicians Strong organizational skills and attention to detail. Excellent communication skills, both verbal and written. Problem solving Abilities Ability to multitask and prioritize tasks in a fast-paced environment. Proficiency in scheduling software and Microsoft Office Suite. Experience with QuickBooks or other accounting software preferred. Customer-focused mindset with a dedication to providing outstanding service. Ability to work collaboratively with team members and other departments. Answering phones & emails - must have experience using MS Outlook Update client demographic information in scheduling softwareWORK HOURS
