Hill Vascular and Vein Center, a growing outpatient vascular surgery practice, is to add an individual to support our growing practice in the role of surgery scheduler/medical assistant .• This is a perfect opportunity for a Physician Assistant Student or Pre-PA student• to gain the necessary clinical hours they need for school . Job Overview As a Surgery Scheduler/Medical Assistant, you will play a critical role in coordinating both on-site and off-site hospital cases for surgeries and interventional procedures. You'll work closely with patients, providers, and staff to triage cases, prioritize based on urgency, and ensure the smooth operation of surgical schedules. Additionally, you will be trained to room patients and scribe on post-op appointments which will provide hands on, direct, patient care. This role requires a professional demeanor , excellent communication and organizational skills , and the ability to work well under tight deadlines. You must be dependable , a team player , and possess strong attention to detail and efficiency, and have sharp critical thinking skills . This is a dynamic position that involves coordinating multiple moving parts to provide exceptional patient care.
Schedule:
Part-time or Full time available, flexible hours to be coordinated with our team. Responsibilities Coordinate and schedule surgeries and interventional radiology procedures for both on-site and off-site hospital locations. Triage cases to prioritize based on clinical urgency. Verify insurance eligibility and obtain authorizations for procedures. Schedule and coordinate pre-op and post-op appointments, including labs, cardiac clearances, and ECG/EKGs. Complete surgery packets and ensure all required documentation is accurate and ready. Make confirmation calls to patients, review pre-op instructions, and confirm transportation needs. Update patient families/caregivers on case status and arrange transportation pickups as needed. Send doctor's orders to skilled nursing facilities (SNFs) when required. Collaborate with hospital scheduling departments and dialysis clinics to arrange off-site cases. Respond to occasional urgent calls/texts from the surgeon during off-hours for infrequent after-hours cases. Maintain accurate and timely documentation of schedules and case priorities. Scribe during post-operative appointments. Provide well formulated and clear SOAP note for providers' final review Check out patient and assist with required scheduling, labs, etc. as noted by the provider. Assist the team with tasks as directed by management. If bilingual, willing to translate when needed. Preferred Qualifications Bilingual (Spanish, Mandarin, Vietnamese preferred). College graduate with Pre-PA school prerequisites completed Required Qualifications High school diploma or equivalent. Strong organizational and multitasking skills. Professional demeanor and excellent communication skills. Dependability and ability to work efficiently under tight deadlines. Adaptability to fluid and changing priorities.
