Job Description

A rapidly expanding biotech company in Carlsbad is hiring an Administrative Operations Coordinator to support internal departments, leadership teams, and operational workflows. This role is ideal for someone who thrives in fast-paced environments and enjoys being the person who keeps projects, communication, and office operations organized behind the scenes.

The company is looking for a proactive and detail-oriented professional who can adapt quickly, manage competing priorities, and confidently support both administrative and operational initiatives during an exciting growth phase.

ResponsibilitiesAdministrative & Operational SupportCoordinate calendars, meetings, and cross-functional scheduling requestsPrepare reports, spreadsheets, and internal operational documentationAssist leadership with project tracking and administrative follow-upMaintain organized records, contracts, and company documentationCoordinate onboarding logistics and office operational support tasksTeam & Office CoordinationCommunicate with vendors, internal teams, and external partners professionallyAssist with event coordination, meeting logistics, and team schedulingSupport purchasing requests, office supply management, and facility coordinationHelp maintain workflow organization across departments during periods of growthReporting & Project SupportTrack operational deadlines and project updatesSupport internal reporting and process improvement initiativesAssist departments with administrative requests and workflow coordination
