Summary:
Under the direction of the Director of Administration, the Associate Scheduler is responsible for managing the scheduling of our in-home services while providing administrative support to field staff and consumers. This role frequently analyzes schedule openings and field staff availability to accurately plan out schedules and enter data into the scheduling system. The Associate Scheduler performs a crucial role for Stars Therapy as the liaison between our field staff and consumers by resolving scheduling conflicts and ensuring all administrative deadlines and operational needs are met.
Essential Functions:
Schedules appropriate coverage for in-home and in-clinic services for children based on availability of clinical staff Accurately adds, cancels or makes changes to scheduled sessions and follows notification procedures Prepares required scheduling documentation to submit by the established deadlines Confirms scheduled sessions with consumers over the phone and/or via email Accurately enters consumer documentation and submits to clinical team for review Attends and participates in staff meetings, trainings and in-services Supports with conducting audits including but not limited to scheduled sessions, questionnaire calls, and consumer documentation audits Demonstrates ability to work independently and as a team Communicates effectively by maintaining a professional demeanor at all times Applies a high level of discretion handling confidential information Builds and maintains professional relationships with team members, field staff and consumers Ensures compliance with industry regulations including but not limited to HIPAA and all company policies Assists in providing administrative support to other departments as needed Assists in front desk duties to ensure coverage as needed Performs additional job duties as assigned based on operational needs
About You:
You are a compassionate, organized, and dependable individual who is passionate about helping children and families access the services they need. You have strong communication and customer service skills, with an interest in administration, psychology, education, social services, or a related field. You are detail-oriented and comfortable managing schedules, coordinating appointments, maintaining records, and supporting daily administrative operations. You are reliable and take pride in being punctual, professional, and prepared, with the ability to manage multiple tasks in a fast-paced environment. You approach your work with empathy, discretion, and a positive attitude, helping create a welcoming experience for families and team members. You understand the importance of confidentiality, accuracy, and integrity in handling sensitive client information.
Minimum Requirements:
Three (3) years of scheduling experience required. Minimum one (1) year of customer service experience required. One (1) year of data entry experience preferred. Bilingual in English and Spanish preferred. Proficiency in Google Workspace, Microsoft Excel, and Microsoft Word. Ability to manage multiple priorities while maintaining attention to detail and accuracy. Available to work Saturdays based on operational needs. Reliable transportation.
