Job Description
About the Role We are a CLIA-certified toxicology laboratory looking for a highly organized, detail-oriented Lab Operations Assistant to be the operational hub of our daily workflow. This is a fast-paced role at the center of communication between our facilities, clients, lab team, phlebotomists, and vendors. The right person is a strong multitasker who can juggle competing priorities, solve problems on the fly, and keep operations running smoothly across multiple accounts. What You'll Do Serve as a primary point of contact for incoming calls, clients, and facility partners — answering questions, explaining test results, and problem-solving as needs arise. Coordinate specimen collection and logistics, including scheduling phlebotomists and couriers, building pickup routes, and ensuring samples are collected and received on time. Review requisitions and lab orders daily for accuracy, correcting errors and supporting the lab team with order entry and problem samples.
Process and distribute results:
monitor lab portals, upload results into our system, and route them to the correct facilities and account managers. Support billing and accounts receivable by gathering insurance information, diagnosis codes, and patient records, and pulling results as needed. Manage vendor relationships — requesting quotes, negotiating pricing, ordering and shipping supplies, and tracking invoices. Maintain lab and office inventory and equipment, restocking supplies and coordinating maintenance to prevent operational delays.Handle general administrative tasks:
managing calendars and meetings, creating spreadsheets and tracking tools, processing payments, and supporting payroll coordination. Coordinate IT needs with outside vendors and maintain internal records and systems. Represent the company at industry events as needed. What We're Looking For Strong organizational skills and exceptional attention to detail. Excellent verbal and written communication; comfortable on the phone with clients and partners. Ability to manage multiple priorities and adapt quickly in a fast-paced environment. Proficiency with spreadsheets, email, and general office software; ability to learn lab and billing systems. A proactive, problem-solving mindset and the ability to work independently. Prior experience in a laboratory, healthcare, or medical office setting is a plus but not required. Reliable transportation; some local driving may be required. Schedule Full-time, hourly position based on-site in Marina del Rey. Standard business hours, with occasional flexibility outside standard hours to support time-sensitive collections and results.Pay:
