Duties Schedule surgeries and procedures accurately within the electronic health record (EHR) system
Coordinate with physicians, nursing staff, and other healthcare providers to confirm operative dates and necessary documentation. Review medical records and documentation for completeness and accuracy prior to scheduling procedures. Communicate clearly with patients regarding appointment details, preoperative instructions, and necessary preparations via phone or electronic messaging while maintaining excellent phone etiquette. Manage incoming calls from patients and providers using multi-line phone systems; prioritize urgent requests efficiently. Maintain organized records of scheduled surgeries, cancellations, reschedules, and related correspondence while ensuring compliance with HIPAA regulations. Assist with administrative tasks such as filing medical records and supporting front desk operations. Utilize computer skills to navigate EMR systems like NextGen, Microsoft Teams, etc. Qualifications Proven experience in medical scheduling within a clinical or hospital setting; clinic experience preferred. Strong knowledge of EMR systems. Familiarity with medical terminology. Excellent organizational skills with attention to detail in documentation review and appointment coordination. Exceptional communication skills—bilingual abilities are a plus—to serve diverse patient populations effectively. Prior experience in medical billing or medical office management is advantageous. Proficiency in Microsoft Office Suite (Word, Excel) along with basic computer skills for data entry and record keeping. Knowledge of HIPAA regulations to ensure patient privacy and confidentiality at all times. Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining professionalism and courtesy at all times.
