Full Job Description Location:
Santa Clara, CA Part-time, approximately 25-30 hours per week, with potential to transition into a full-time role based on business needs and performance.Compensation:
$30.00/hour- $35.00/hour, based on experience. Position Overview We are seeking an experienced, detail-oriented, and proactive Sales Operations Coordinator to support our sales team, customer order processing, and day-to-day operational workflows. This role is critical to ensuring accurate quotes, smooth order fulfillment, timely invoicing, and responsive customer communication. The ideal candidate is highly organized, customer-focused, and comfortable working in a fast-paced B2B environment involving hardware, SaaS, and supply chain technology solutions. This person should be able to manage multiple priorities independently while collaborating closely with sales, vendors, customers, and internal teams. Primary Responsibilities Sales Support Assist sales representatives with quote preparation and quote templates Coordinate deal registrations and vendor communications Follow up with sales reps, vendors, and customers on outstanding items Research customer purchasing history and product information Maintain accurate customer and sales records Order & Operations Management Review and enter customer orders accurately and efficiently Create and manage vendor purchase orders Coordinate order fulfillment and shipment tracking Send order acknowledgements and shipment confirmations Generate invoices for shipped orders Work with vendors and internal teams to resolve order discrepancies or delays Customer Communication Respond to customer inquiries professionally and promptly Maintain clear communication regarding order status and timelines Support a high level of customer satisfaction and responsiveness Who Succeeds in This Role The ideal candidate: Enjoys keeping processes organized and accurate Communicates clearly and professionally Takes ownership of tasks and follows through consistently Can balance multiple priorities without losing attention to detail Thrives in a collaborative small-company environment Work Environment This is an on-site role in Santa Clara, CA working closely with sales, operations, and leadership teams. Qualifications • 5+ years of experience in sales support, administrative, or order processing roles Familiarity with order processing workflows Experience in SaaS, hardware resale, or B2B sales environments is a plus Preferred Technical Experience Experience with Zoho CRM, Zoho Books, QuickBooks, or similar systems Strong Microsoft Excel skills including pivot tables, lookups, and filtering Experience working with vendor portals Skills and Attributes Strong attention to detail and accuracy Excellent organizational and time management skills Ability to manage multiple priorities and meet deadlines Positive, proactive problem-solving mindset Strong communication and collaboration skills High level of integrity and professionalism Process-oriented with a focus on continuous improvement Benefits Accrue thirteen days Paid time off per year Nine Company paid national holidays Comprehensive Benefits Package for Full-Time employees Additional Information No travel required Structured on-site training and onboarding provided This is an on-site position based in Santa Clara, CA, with hybrid potential after demonstrated proficiencyPay:
