Job Description

Job Summary The core duties and responsibilities of the Operations Assistant revolve around assisting and supporting executive personnel within the agency. As a supportive role, great communication skills, initiative and works well under pressure are paramount. Exceptional organization skills can work independently, proactive/self-starter and keen attention to detail are core competencies of this role. The Operations Assistant will help execute projects from start to launch that will improve the overall business practices of the agency. This role is essential for ensuring smooth daily operations and facilitating effective communication within the organization. Duties Complete a total minimum of 32 clocked in hours per week or otherwise arranged by direct supervisor Log into Teams during work hours and be readily available for chats, calls and meetings Attend all mandatory in-person meetings as scheduled Proficient understanding of logistics, sanitation, vehicle maintenance, inventory and hazard free environment Provide general assistance to Quality Assurance Manager for any assigned tasks Procure all food, deliver and manage inventory at the warehouse with expiration dates as first in first olut Deliver any supplies and non-perishable goods to all facilities Log and manage all inventory throughout the facilities and corporate office Create procedures for checking in and out inventory and tracking all repair requests Research and find comparable prices for all purchases Perform repairs in all sites as assigned Ensure all are in working order and fixed as necessary Complete general building cleaning and maintenance in a weekly basis Assemble and or repair any furniture Set up/ and take down for Dream Home Care events as needed. Repair and paint doors, windows, walls, ceilings, roofs and other parts of the building Maintain trash and recycling needs in all sites Find, review and monitor outside vendors to complete specialty work Report weekly to COO on all tasks and projects to date Able to actively take initiative on special projects and manage all the way to completion All other duties and/or projects as assigned Requirements At least 1-year prior warehouse and/or quality control experience Outstanding follow-through, self-directed, and highly motivated with a strong sense of urgency Excellent communication skills both oral and written with a high regard for confidentiality Excellent writing skills and ability to make updates and changes as needed High aptitude with business communications, expectations and professional demeanor Strong time management skills Excellent attention to detail and organization skills Strong abilities in generating reports and proficient in Office 365 Enthusiastic and eager to be a team player and work collaboratively with others Strong skills in independent work and meet deadlines Work cooperatively with others and open to give and receive feedback Always looking to grow and learn from others and experience Ability to handle sensitive information with discretion and maintain confidentiality Experience in operating office-related technology a plus Proficient project management skills Must possess a valid California Driver's License and acceptable DMV record for the last five (5) years. No license suspensions within the last three (3) years and must possess under three (3) points in the last five (5) years. Successful completion of a Criminal Record Clearance, Child Abuse Index Clearance, TB and Medical History Review Clearance and Employment Verification.
