Hiring for a Customer Service Coordinator in Windsor! Job Description This role coordinates order scheduling, stock reservations, and customer communication to ensure accurate and timely shipment of products. The position requires strong attention to detail, effective communication with internal teams, and the ability to manage multiple orders and tasks in a fast-paced, fully onsite environment. Responsibilities Respond to incoming emails in a timely manner, aiming to reply within 30-45 minutes. Review and complete tickets in the internal system to ensure accurate and up-to-date order information. Schedule and print orders, highlight key details, and distribute them to the appropriate departments. Place reservations on stock as requested to support current and upcoming orders. Calculate stock availability, including considerations for kerf, scrap, and hold down, and use this information to manage and reserve stock for maintenance, repair, and operations (MRO) orders. Notify Sales and Quality Assurance when specifications do not match and support the review and update process. Identify receivers that have orders allocated to incoming stock and review them for potential stockouts or WAV issues. Complete receivers when time allows to keep inventory and order records accurate. Print inspection sheets on the back side of travelers to support quality and production processes. Communicate with the sales team when orders are late or cut incorrectly, and obtain approval to ship or re-cut as needed. Notify the sales team when order quantities differ by more than 10% above or below the original order. Provide lead times for cut orders as requested by sales, based on current schedules and stock availability. Maintain the order backlog by ensuring all orders are scheduled in the sequence they are entered or released from credit. Monitor and enforce "start by" dates to ensure orders ship on time and meet customer expectations. Schedule orders in BTS at least one week prior to their due date where applicable. Apply the correct shipment reason codes for orders, such as quality hold, freight delay, or stockout, to maintain accurate reporting. Manage and schedule pack-and-hold orders, including Kanbans, to support ongoing customer requirements. Review MRO orders when necessary to ensure they are properly scheduled and supplied. Complete item transfers and split tags when requested to support accurate inventory and order fulfillment. Strong administrative skills, including the ability to manage multiple tasks, orders, and tickets simultaneously. High level of reliability and consistency in meeting deadlines and following through on commitments. Effective written and verbal communication skills, with the ability to clearly interact with sales, quality, and other internal teams. Ability to learn and navigate new computer systems and internal software quickly. Scheduling skills, including the ability to prioritize and organize orders to meet deadlines. Comfort working closely with sales teams and supporting sales-related order activities. Additional Skills & Qualifications Interest in building a long-term career and growing within an organization. Willingness to develop deeper knowledge of inventory management, order scheduling, and MRO processes. Openness to learning new tools, systems, and processes as the organization evolves. Work Environment This is a fully onsite position with standard hours of 8:00 AM to 5:00 PM. You will work in a structured office and production-support environment, interacting regularly with sales, quality assurance, and operations teams. The role involves working at a computer for much of the day while coordinating with other departments to ensure orders are scheduled, printed, and processed accurately and on time. Job Type & Location This is a Contract to Hire position based out of Windsor, CT. Pay and Benefits The pay range for this position is $23.00 - $25.00/hr.
