16.98 - 25.48HOURLY General Summary:
The Surgery Scheduler will schedule, pre-register, organize pre-testing, obtain clearance for surgery and obtain authorization information from insurance companies for scheduled outpatient and inpatient surgical procedures for the practice. The Surgery Scheduler may cross train as a Surgery Scheduler within other physician practices within Bayhealth Medical Group. The Surgery Scheduler will also be responsible for clerical and administrative duties related to the operation of a physician's practice as directed.Responsibilities:
1. Ensures timely, efficient, and accurate scheduling of surgery patients in order of receipt. a. Interacts with physician and office staff to schedule procedures in order of priority of patients, calls received, and time slots available. b. Interacts with charge personnel in individual departments for questions with scheduling procedures. c. For patients that may have multiple studies, arranges appointments together as much as possible and in proper sequence. Patient prep for studies must be considered when coordinating studies between modalities. • Books all required surgical procedures with Anesthesia department as schedule permits. d. Recommends and updates scheduling protocols for new or revised procedures. e. Builds relationships with referring physician offices and hospital departments to maintain smooth processes 2. Gains information relative to patient and equipment safety during scheduling and registration process a. Ensures, as much as possible, that at risk patients, such as diabetics and dialysis patients, receive specific preparation instructions. b. Asks all patients if there is known allergy to contrast media. c. Asks all patients if weight above 400 lbs d. Alters schedules if necessary to accommodate time needed to perform the exams. e. Coordinates equipment and equipment company representative for surgery; collaborates with Bayhealth OR Schedulers 3. Completes patient registration process for surgical patients in a timely and efficient manner. a. Explains instructions for pre-surgery and day of surgery to patients. b. Ensures complete and relevant documentation and confirms authorization status. c. Gathers correct billing information during scheduling process from patient (Patient name, SS#, Date of birth, insurance company, and reason for procedure). d. Ensures that pre-registration is completed 24 hours prior to patient's scheduled appointment time. e. Obtains patient history, labs, medical clearances, x-rays, MRI's and other pertinent paperwork according to the surgery facility guidelines and faxes to Surgery Center's Pre Admission prior to patients arrival at surgery center. f. Adheres to HIPAA regulations at all times. 4. Ensures completed documentation and confirms authorization status in order to prevent denial of claims. a. Obtains signs and symptoms and appropriate ICD-9 codes for all scheduled procedures. b. If authorization number is required for patient's insurance, ensures that follow through is made by 2:30PM the day prior or appointment will be cancelled. c. Scheduler notified physician's offices if there is a problem with insurance authorization or Medicare in order to prevent denial of payment for services. 5. Assists the office in all aspects of the daily operations as needed; including but not limited to: a. Provides back up support for other Bayhealth Medical Group surgery schedulers or referral specialists as needed. b. Fills in at front desk check in and check out as required. c. Collects demographic and insurance information to schedule patients for office appointments • Ensures other staff is cross trained to cover the position of Surgery Scheduler d. Act as a chaperone in patient exam rooms as needed. 6. Performs all duties in accordance with continuous quality improvement principles and philosophy of organization. a. Participates in performance improvement activities b. Uses the resulting performance improvement activities to initiate change as appropriate 7. Participates as an active, contributing team member withinBayhealth Medical Group:
a. Attends regularly scheduled staff meetings, in-services, educational programs, and mandatory education requirements b. Shares knowledge, skills, and experiences with colleagues and peers. c. Provides colleagues and peers with constructive feedback regarding their practice. d. Contributes to a learning environment that is conducive to medical office education. e. Contributes to a team environment by working with others in a way that promotes and encourages each person's contribution. f. Demonstrates flexibility to cover other offices as needed for staff shortages or new office ramp up 8. All other duties as assigned, within the scope and range of job responsibility.
