As a surgical scheduler you will play a key role in patient care by coordinating surgeries, preoperative and post-operative appointments. You will serve as the primary contact for patients regarding scheduling, insurance authorization, medical clearances, and any follow up questions. This position offers an exciting opportunity to contribute to patient care excellence while working within a fast-paced, collaborative environment. Responsibilities Schedule surgeries and procedures accurately in EMR (Electronic Medical Record) system eClinicalWorks. Complete knowledge of CPT coding, ICD-10 coding Verify insurance coverage and perform insurance authorization and verification processes to ensure smooth surgical workflows. Communicate effectively with patients regarding pre-operative instructions, appointment details, and follow-up care plans via phone or electronic messaging. Review medical documentation, including clinical notes, and prior authorizations to ensure completeness and accuracy. Coordinate with surgeons, nursing staff, and facilities administrative teams to confirm availability and prepare for upcoming procedures. Maintain detailed records of scheduling activities, cancellations, reschedules, and patient communications in compliance with HIPAA regulations. Complete necessary paperwork for patients as needed. (FMLA) Perform other duties as assigned. Qualifications Proven experience in medical scheduling within a clinical or hospital setting; podiatry experience is a plus. Strong knowledge of EMR systems. eClinicalWorks preferred. Familiarity with medical coding CPT codes and ICD coding to ensure proper billing procedures. Excellent organizational skills with the ability to manage multiple schedules efficiently while maintaining attention to detail. Exceptional communication skills—bilingual (English/Spanish) candidates are encouraged to apply—and phone etiquette is essential for patient interactions. Proficiency in Microsoft Office (Word, Excel) and other computer skills necessary for documentation review and data entry. Knowledge of HIPAA regulations to ensure confidentiality and security of patient information. Prior clinic or hospital experience involving medical office management or front desk duties is highly desirable. Ability to work collaboratively within a team environment while demonstrating professionalism in all interactions.
