Position Details Program Operations and Admissions Coordinator, PA Program University of Tampa, Department of Physician Assistant Medicine The University of Tampa is seeking a Program Operations and Admissions Coordinator to support the Department of Physician Assistant Medicine. This position serves as the primary on-site operational staff member for the PA Program and the main front-facing point of contact for students, applicants, faculty, visitors, and external stakeholders. The Coordinator supports daily program operations, PA-specific admissions processes, front desk coverage, interview and event logistics, exam support, purchasing, and general administrative coordination in a fast-paced graduate health professions environment. Key Responsibilities Serve as the primary front desk and operational contact for the PA Program Support PA admissions processes, including applicant tracking, communications, interview scheduling, and admissions logistics Coordinate calendars, meetings, records, and routine administrative workflows Assist with exam logistics, proctoring, and assessment support Process purchasing, reimbursements, and vendor coordination Coordinate events, room scheduling, facilities, and IT requests Collaborate with program staff, faculty, Graduate Studies, and University offices to support efficient program operations, including operational support for accreditation-related activities Identify operational bottlenecks and propose process improvements to the Program Director Develop and maintain SOPs, checklists, templates, and trackers for recurring operational processes Minimum Qualifications Bachelor's degree required, or an equivalent combination of education and progressively responsible administrative experience Three or more years of administrative experience Strong organizational, communication, and customer service skills Ability to manage multiple priorities with accuracy, professionalism, and sound judgment Proficiency with Microsoft 365 and shared document systems Ability to handle confidential information and work effectively in a team-based academic environment Preferred Qualifications Experience in higher education, healthcare education, or admissions Experience supporting a graduate or health professions program Familiarity with admissions platforms such as CASPA Experience coordinating events, interviews, exam logistics, or student-facing operations Work Schedule Monday through Friday from 8:30 a.m. to 5:00 p.m.
Summer:
Monday through Thursday from 8:00 a.m. to 5:30 p.m. This is primarily an on-campus position, generally Monday through Friday during regular business hours, with occasional early morning, evening, or weekend responsibilities related to interviews, orientations, ceremonies, exams, and program events.
