Operations Coordinator Light Source Lighting Plainfield, IL Job Details Full-time From $18 an hour 4 days ago Benefits Dental insurance 401(k) Paid time off 401(k) matching Qualifications Teamwork Supplier management Attention to detail Decision making Data entry Organizational skills Full Job Description We are seeking a highly organized, detail-driven Operations Coordinator to take ownership of critical day-to-day functions that keep our business running smoothly. This is not a basic administrative role. This position sits at the center of our operations and requires someone who can manage moving parts, make decisions, and follow through with precision. What You'll Own This role is responsible for coordinating and executing across several core areas of the business: Purchasing & Inventory Management Place and track purchase orders with multiple vendors Monitor inventory levels and work with leadership to reorder avoiding stockouts and overstock Reconcile vendor acknowledgments, backorders, and shipping timelines Maintain accurate product and order data in our systems Vendor & Builder Coordination Communicate regularly with manufacturers regarding orders, issues, and timelines Build and maintain strong vendor relationships Coordinate with builders and contractors to ensure timely product delivery and project alignment Scheduling & Logistics Manage and optimize the installation and delivery calendar Coordinate scheduling between customers, installers, and internal team members Resolve scheduling conflicts and last-minute changes with urgency and professionalism Customer & Team Communication Answer and manage inbound calls with professionalism and efficiency Serve as a key communication hub between sales team, customers, vendors, and installers Proactively follow up to keep orders and projects moving forward What Success Looks Like Orders are accurate, on time, and tracked without things falling through the cracks Inventory is balanced and intentional—not reactive Installations and deliveries run smoothly with minimal disruption Vendors and customers feel confident working with you Problems are anticipated and solved before they escalate Who This Role Is For This role is for someone who: Naturally takes ownership and follows things through to completion Who works well with leadership and is a good collaborator with other teammates Is highly detail-oriented and notices what others miss Can juggle multiple priorities without losing accuracy Is comfortable working with numbers, systems, and logistics Communicates clearly and confidently with both vendors, customers, and coworkers Stays calm and solution-focused when things get busy Who This Role Is NOT For Someone looking for a slow-paced or purely task-based admin role Someone who needs constant direction or struggles with follow-through Someone uncomfortable making decisions or solving problems independently Qualifications Experience in purchasing, inventory management, operations, or logistics preferred Strong proficiency in Excel and/or Google Sheets (tracking, organization, basic formulas) Experience coordinating schedules or managing multiple workflows Strong written and verbal communication skills High attention to detail and accuracy in data entry and order management About Us We are a family-owned lighting company that has been serving customers for almost 30 years.
