The Operations & Field Coordinator plays a vital role in supporting the successful execution of projects from contract to completion. This role serves as a central point of coordination between customers, field teams, operations leadership, vendors, and internal departments. The ideal candidate is highly organized, proactive, detail oriented, and comfortable managing multiple moving parts in a fast-paced environment. This is an operational support position directly tied to project flow, customer experience, and company performance.Responsibilities:
Scheduling & Coordination Schedule and manage: Measure appointments / Installation dates of Final walkthroughs / Service and warranty appointments Coordinate schedules between customers, sales representatives, installation crews, and leadership Maintain scheduling accuracy within internal CRM systems Project Workflow Management Monitor projects throughout each phase of the workflow Track project movement and provide regular updates to management Identify delays or bottlenecks and proactively communicate solutions Materials & Vendor Coordination Track inventory and assist with material ordering Coordinate with vendors regarding: Product availability / Delivery timelines / Order accuracy Ensure project materials are aligned with installation schedules Documentation & Project File Management Organize and maintain: Contracts / Change orders/ Warranty claims /Payment records/ Project documentation Prepare internal project packets including: Labor tickets / Measure sheets/ Installation documentation Maintain organized digital and physical files CRM & Administrative Management Maintain accurate records within CRM Upload and organize project documents Track customer communications and project updates Ensure service items and warranty requests are properly documented Customer Communication Serve as a professional point of contact for customers throughout the project process Communicate scheduling confirmations, updates, and next steps clearly and professionally Help maintain MDWD's commitment to a seamless, 5-star customer experience Financial Coordination Support Assist accounting with project status updates related to billing Help track deposits, payments, and project closeout readiness Quality Control & Closeout Coordination Assist with scheduling final walkthroughs and completion appointments Track punch-list and service items to ensure mely resolution Qualifications Preferred qualifications include: Strong organizational and multi tasking abilities Excellent communication skills Attention to detail and follow-through Ability to remain calm and solution-oriented in a fast-paced environment Previous experience in: Construction coordination / Scheduling / Operations support Administrtive management CRM experience preferred Proficiency in Microso Office / Google Workspace Valid Driver's License Reliable transportation to and from the officeWhat We're Looking For:

$40,000 annual salary (non-exempt) plus bonus opportunities. Overtime compensation provided in accordance with applicable law. Company vehicle and fuel provided for approved work-related activities during business hours.
