Scheduling Coordinator - Home Care Services About the
Role:
We are seeking a highly organized, proactive, and adaptable Scheduling Coordinator with healthcare experience to join our growing private home care team. This position plays a critical role in ensuring seamless coordination between clients and caregivers while maintaining exceptional standards of care and service. The ideal candidate is calm under pressure, solution-oriented, and thrives in a fast-paced environment where priorities can shift quickly. This role requires strong communication skills, attention to detail, and the ability to build positive relationships with both clients and caregivers.

Key Responsibilities:
Care Coordination & Scheduling Manage and maintain caregiver schedules to ensure all client care needs are met efficiently and consistently Match caregivers to clients based on qualifications, experience, personality fit, location, and care requirements Proactively anticipate staffing needs and adjust schedules to prevent gaps in care Respond quickly and effectively to last-minute schedule changes, call-outs, and urgent staffing situations Communication & Customer Service Serve as a primary point of contact for caregivers, clients, and families regarding scheduling updates, concerns, and service requests Maintain professional, compassionate, and timely communication at all times Ensure caregivers are fully informed of shift details, client preferences, and care expectations before assignments Documentation & Compliance Maintain accurate scheduling records, caregiver attendance logs, mileage documentation, and client information Monitor caregiver punctuality, attendance, and shift completion Ensure scheduling practices comply with company policies, healthcare regulations, and safety standards Protect confidential client and employee information with professionalism and discretion Team Support & Coordination Collaborate with recruiting and leadership teams to identify staffing needs and support workforce planning Assist with onboarding and orientation scheduling for new caregivers Support operational leadership in maintaining high-quality client care and caregiver satisfaction Qualifications High school diploma or equivalent required. Previous experience in scheduling, staffing coordination, healthcare administration, or customer service required Home care, healthcare, or medical office experience strongly preferred Excellent organizational and multitasking abilities in a fast-paced environment Strong problem-solving skills with the ability to think proactively and make quick decisions Exceptional verbal and written communication skills Proficiency with scheduling software, Microsoft Office, and administrative systems Comfortable providing occasional field support and visiting client homes when needed Knowledge of home care operations, caregiver scheduling, and care plans is highly valued Ability to maintain confidentiality and professionalism in sensitive situations What We Offer Competitive pay with overtime opportunities Paid training and ongoing support Paid sick time 401(k) with company matching Opportunity for professional growth and leadership development Supportive team culture focused on high-quality care and employee success Why Join Us?
