Reporting to the Director of Operations, this role provides support for operational aspects of enrollment management, including data processing, enrollment procedures, and ensuring efficient workflows within the service coordination department in in support of beneficiaries and their families. Our ideal candidate would bring experience as a paralegal, preferably with experience with trusts, estate planning or elder law, as well as having an interest in working with people with special needs. Responsibilities Support Enrollment process under direction from Intake and Benefit Specialist with key parts of enrollment process, including vetting application information, conducting follow-up and updating relationships in Salesforce. Manage communication of new beneficiary information, including assignment of Service Coordinator, EIN and selection of investment portfolio strategy, welcome packet materials and associated Salesforce records. Manage communication of fully executed Instrument of Trust Assignment (ITA) deposit confirmation to beneficiary attorneys/representatives. Coordinate management of benefit information from Enrollment stage forward; maintain database/spreadsheet for annual benefit requests, and update Salesforce. Conduct outreach to beneficiaries and other relevant contacts to obtain written benefit verification and representative legal documentation to ensure the complete compilation of benefits, and other required documentation, for each beneficiary. Stay informed on public benefits like Medicaid, disability support, and housing resources. Perform annual check-ins on all Future Funded accounts; Update LifeCare plans, as needed; and maintain timely and accurate notes in Salesforce documenting each encounter with Future Funded accounts Assist with obtaining and documenting PSI forms for beneficiaries to aid in streamlining intermediary communications between benefits agencies and PLAN staff Partner with Operations Specialist to ensure data completion and integrity of beneficiary and trust records in Salesforce. Assist with obtaining, scanning and filing required documents for beneficiaries including Medicaid letters, Powers of Attorney, guardianship, conservator, wills, deeds, etc. Assist Service Coordinator Assistant with annual benefit request communications, monitor and document updates to benefit information on an ongoing basis. Assist Billing department with reviewing, vetting and assembling beneficiary disbursement requests and reviewing beneficiary spending plans Document all applicable activity in Salesforce in a timely manner. Assist office support staff with answering telephone calls in a prompt and professional manner. Assist with special projects upon request. Qualifications 1-3 years of paralegal experience (preferably focused on elder law, probate, or trusts and estate planning) Strong knowledge base of public benefits Experience working with individuals with disabilities is a plus, as well as bilingual in written and oral communication. A team player with a heart for service and advocacy Excellent organizational skills, time management skills, follow-up skills and strong attention to detail Experience working with individuals with disabilities is a plus, as well as bilingual in written and oral communication.
