Job Description

Overview We are a multidisciplinary private practice, helping children and their families achieve their goals in communication, movement, education and activities of daily living. Our practice offers speech therapy, occupational therapy, physical therapy and tutoring in two locations (Forest Hill and Bel air), as well as groups for enrichment with parent involvement. We are growing again and seeking a dynamic and organized Front Office Scheduler to join our pediatric private practice team, as our the number of our providers and services has increased. This vital role is the first point of contact for patients and families, ensuring smooth operations at the front desk while providing exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess a strong understanding of medical administrative support, scheduling, and health information management systems. Your proactive approach will help streamline clinic workflows, improve patient experiences, and support the overall efficiency of our practice. Responsibilities Manage patient appointments and coordinate schedules using EMR (Electronic Medical Record) systems. Answer multi-line phone systems with professional phone etiquette; direct calls appropriately and handle patient inquiries efficiently. Review and update medical records, ensuring accuracy and compliance with HIPAA regulations; maintain confidentiality at all times. Assist with intake procedures, including patient registration, data entry, and documentation review to ensure complete and accurate records. Support medical billing processes by understanding CPT coding, and medical terminology to facilitate accurate documentation. Maintain office organization through filing, data entry, and managing medical records using software. Provide excellent patient service by greeting families warmly, managing front desk operations, and supporting care plans documentation. Collaborate with clinical staff to ensure timely scheduling of appointments and procedures in accordance with clinic policies. Qualifications Proven experience in medical office management or healthcare front desk roles with clinic experience preferred. Strong knowledge of EMR systems such as Fusion, Epic, Meditech, Athenahealth, or similar platforms. Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and typing skills (10 key typing). Knowledge of HIPAA regulations and health information management standards to ensure patient privacy and data security. Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining attention to detail. Exceptional communication skills with a focus on phone etiquette and customer service. Prior office experience in a healthcare setting—particularly private practices—is advantageous, as well as experience with using workflow platforms. Pay:
$18.00 - $22.00 per hour
