Job Description

Scheduler - $20-$24/hr
SUMMARY:
The Scheduler is responsible for coordinating service requests, scheduling technicians, dispatching work orders, and ensuring timely communication between clients, vendors, and field personnel. This position supports facility operations by maintaining accurate records, tracking work order progress, and ensuring maintenance activities are completed efficiently and on time. This position reports to the Facilities Manager.
DUTIES:
Receive, prioritize, and dispatch work orders. Schedule preventive maintenance, service calls, and inspections. Coordinate technician and subcontractor schedules. Monitor work order status and ensure timely completion. Communicate with clients regarding service requests and scheduling updates. Create and maintain work orders within the CMMS system. Review completed work orders for accuracy and completeness. Maintain maintenance records and service documentation. Generate reports as requested. Answer incoming calls, emails, and service requests. Coordinate emergency service requests as needed. Demonstrates initiative in assignments and maintains positive customer relations. Maintains accurate and timely paperwork. Relies on experience and judgment to plan and accomplish goals.
REQUIREMENTS
Minimum 2 years of scheduling, dispatching, administrative, or facilities coordination experience. Experience using CMMS or work order management systems preferred. Proficient with Microsoft Outlook, Excel, and Word. Strong organizational and time management skills. Strong verbal and written communication skills. Ability to prioritize multiple tasks in a fast-paced environment. Strong attention to detail and customer service skills. Ability to work independently and as part of a team.
