Occupational Summary:
The Athletic Operations Coordinator serves as the central operational and administrative hub for the Baker College Athletic Department. This role ensures the seamless execution of day-to-day operations, event management, and programmatic logistics to support coaches, staff, and student-athletes. The coordinator provides direct leadership and oversight for critical department functions, including comprehensive travel coordination, facility and practice scheduling, business/financial processes, and home game-day management. Working in direct collaboration with the Athletic Director, the position safeguards institutional integrity by maintaining strict compliance with the National Association of Intercollegiate Athletics (NAIA), the Wolverine- Hoosier Athletic Conference (WHAC), and Baker College policies.
Role and Responsibilities:
  • Work closely with the Athletic Director to implement and enforce NAIA, WHAC, and Baker College regulations.
  • Coordinate all athletic department travel arrangements, including securing buses, vans, lodging, and meals.
  • Maintain, organize, and track athletic department contracts, vendor agreements, policies, and procedures.
  • Assist with the oversight of the finance and business processes of the Athletic Department, including accounting, purchasing, financial reporting, and travel expenditures.
  • Analyze monthly financial reports, create purchase orders, and compare actual expenditures against budgets to ensure precision.
  • Review and reconcile sport-specific purchases, travel expense vouchers, and procurement card charges for assigned sports and operational areas.
  • Manage game contracts, schedule verifications, and event cancellations with opposing institutions and officials.
  • Oversee home game-day operations, assist with athletic events, coordinate officials, and manage visiting team logistics.
  • Manage athletic department calendars, facility scheduling, and shared internal coordination for team practices.
  • Serve as the primary liaison with campus facilities and maintenance personnel for game-day operations and department needs.
  • Coordinate internal communication pipelines between coaching staff, athletics administration, and campus departments.
  • Collaborate on the development and evaluation of protocols and procedures designed to prevent NAIA and WHAC violations.
  • Monitor athletic fundraising activities and policies to ensure strict institutional compliance.
  • Participate directly in sport-specific fundraising initiatives and fund development in accordance with the College's and Athletic Department's goals, including supporting the annual athletic department fundraiser.
  • Assist with all aspects related to the supervision, hiring, onboarding, and performance evaluations of all student employees and graduate assistants for the athletic department. 2
  • Assist with and attend regular staff meetings, workshops, and retreats to ensure overall departmental alignment.
  • Coordinate department outreach to the community and organize volunteer work for student-athletes.
  • Perform other duties as assigned.
Qualifications and Education Requirements:
  • Bachelor's degree in Sports Management, Education, or a related field (required); Master's degree preferred.
  • Minimum of 2-5 years of collegiate experience and/or professional athletic experience.
  • Experience with NAIA or NCAA preferred.
  • Established record of accomplishment in effective coaching, student-athlete development, and budgetary management.

  • Demonstrated ability to effectively communicate to student-athletes and staff athletic department expectations.
  • Strategic thinking and decision-making skills and support the growth of collegiate athletics at Baker College.
  • Ability to manage multiple priorities, including team operations, travel coordination, department budget activities, and administrative deadlines.
  • Commitment to maintaining institutional integrity and upholding the core values and regulations of the National Association of Intercollegiate Athletics (NAIA), Wolverine Hoosier Athletic Conference (WHAC), and Baker College Athletics.
  • Knowledge of sport-specific strategies and training methods, along with proficiency in recruiting platforms, video analysis tools, and the Microsoft Office Suite.
