This position is responsible for coordinating section creation and scheduling processes, ensuring the accuracy and integrity of institutional data, overseeing state and federal reporting requirements, and maintaining compliance with applicable regulations and reporting standards. The position supervises assigned staff, leads compliance reviews and audits, provides Veterans Services compliance oversight, and collaborates with departments across the College to promote accurate reporting, efficient processes, and effective use of institutional systems. Through continuous process improvement, training, and operational support, the Scheduling and Compliance Coordinator helps ensure the integrity of institutional data and supports informed decision-making, regulatory compliance, and student success Example of Duties Essential Duties and Responsibilities include the following. Other duties may be assigned.
Scheduling and Section Management Responsible for Colleague section creation and scheduling related functions and activities. Plan, coordinate, and oversee section creation, scheduling, and related operational processes. Audit, troubleshoot, and ensure the accuracy of SECT and related Colleague mnemonics. Oversee, audit, troubleshoot, and ensure the accuracy of Self-Service web and paper rosters, including the review, updating, and correction of related system records. Ensure accurate and timely reporting of never attended statuses and no-show (NS) grades submitted by faculty through Self-Service.
Compliance, Reporting, and FTE Administration Coordinate the collection, preparation, and summarization of data for state compliance reviews and bi-annual audits. Perform and lead the detailed review, maintenance, and preparation of non-credit section files for compliance reviews and bi-annual audits. Provide compliance oversight of Veterans Services certification processes through internal auditing, reviewing activities performed by School Certifying Officials to ensure adherence to federal regulations, state requirements, and College policies and procedures. Coordinate the preparation and submission of Fall and Spring Estimated FTE reports for Curriculum, Occupational Extension, Basic Skills (ESL and College and Career Readiness). Oversee the collection, review, and submission of Institutional Class Report (ICR) data, ensuring the accuracy of FTE figures and making necessary adjustments to erroneous records. Prepare, audit, correct, and submit XPA reports, including but not limited to underage reports, curriculum/continuing education overlap reports, and work-based learning reports. Prepare and submit required reports to the North Carolina Community College System (NCCCS), the College Board of Trustees, internal stakeholders, and external agencies. Prepare and provide FTE, enrollment, and related reporting data to College departments as needed.
Leadership, Process Improvement, and Records Management Provide leadership and supervision for assigned staff to ensure compliance with College, state, and regulatory requirements, including monitoring daily activities and professional development. Organize and oversee records maintenance, including retention of attendance records, attendance verification documentation, and section change documentation. Research, evaluate, and implement new procedures, technologies, and system enhancements to improve compliance processes and operational efficiency. Recommend policies, procedures, and regulatory controls that promote compliance, efficiency, and best practices. Ensure the confidentiality and security of student educational records in accordance with the Family Educational Rights and Privacy Act (FERPA), state law, North Carolina Community College System records retention requirements, administrative code, and College policies and procedures. Collaboration, Training, and Professional Development Collaborate with the Registrar, Assistant Registrars, Deans, Program Directors/Department Heads, College and Career Readiness, and other campus stakeholders to resolve scheduling, compliance, and reporting issues. Provide training and ongoing subject matter expertise to Deans, Program Directors/Department Heads, Coordinators, and other campus stakeholders regarding scheduling, section creation, attendance tracking, FTE reporting, Colleague functionality, and related compliance requirements. Participate in ongoing professional development to maintain current knowledge of scheduling, enrollment reporting, attendance tracking, FTE reporting, Colleague functionality, and applicable state and system regulations. Serve on College committees as assigned, providing subject matter expertise. Supervisory Responsibilities This position has supervisory responsibilities. ____X____This position does not have supervisory responsibilities. __________ Typical Qualifications Education and/or ExperienceRequired Associate degree from an accredited institution in business administration, information systems, public administration, data management, or a related field. Three to five years of progressively responsible experience in higher education administration, student services, enrollment services, institutional research, compliance, records management, scheduling, or a related administrative function. Experience interpreting, applying, and monitoring compliance with federal, state, and institutional regulations, policies, and procedures. Experience preparing, auditing, analyzing, or reporting institutional, enrollment, or compliance-related data. Experience supervising staff or leading operational processes, projects, or cross-functional initiatives. Demonstrated ability to manage multiple priorities, meet deadlines, analyze information, solve problems, and maintain a high level of accuracy in a fast-paced environment. Proficiency with Microsoft Office or Google Workspace, including advanced spreadsheet skills.
Preferred Bachelor's degree from an accredited institution in a related field. Experience working in a North Carolina Community College System institution. Experience with Ellucian Colleague, Informer, Self-Service, or comparable enterprise information systems. Experience with section scheduling, enrollment reporting, FTE reporting, regulatory reporting, compliance reviews, or quality assurance activities within higher education. Experience developing procedures, training materials, or operational documentation.
