Position Summary / Objective The Permit Coordinator is responsible for conducting the administrative work to secure the necessary permissions from local and federal Authorities Having Jurisdiction (AHJs) in order to legally perform fireworks and special effects at live events. This individual contributor works with other members of the Sales and Production Team to ensure that company goals regarding permitting are met. Role Responsibilities The following duties represent the primary responsibilities of the role. This list is not exhaustive. The individual in this position will perform additional tasks as assigned, adhere to all provisions of the Employee Manual, and participate in company initiatives and projects.
Permitting & Compliance Timely Procurement:
Ensure all necessary permits and permissions are obtained in a timely manner to guarantee the successful completion of required approvals and documentation per deadline/plan.
Application & Packets:
Complete permit applications, create standardized AHJ packets per company standards, and generate Certificates of Insurance (COI).
Agency & Federal Liaison:
Liaise directly with AHJs, local license holders, and federal agencies to secure approvals, including handling Federal filings such as the FAA.
Problem Solving:
Practice proactive problem-solving and early roadblock identification to prevent delays in the permitting process.
Data & Communication System Management:
Ensure up-to-date AHJ and Venue data is accurately captured in NetSuite (ERP).
Stakeholder Alignment:
Work directly with internal and external contacts to ensure permitting information is current, establishing clear lines of communication for continuous process improvement.
Team & Regional Support Cross-Regional Support:
Provide operational and permitting assistance to other company regions as needed. Work Environment This position primarily operates in an office environment with frequent communication with technicians, regulatory agencies, and internal teams. The role requires managing multiple deadlines and coordinating details for numerous events simultaneously, particularly during peak operational periods. Physical Demands This position requires prolonged periods of sitting and working at a computer and handling paperwork, mail, or office materials. The role involves frequent communication via phone and email with technicians, regulatory agencies, and internal staff. Position Type / Expected Hours of Work This is a full-time, hourly position. Standard business hours apply; however, additional hours may be required during peak production season to manage permitting deadlines and operational needs. Travel Travel is minimal but may occasionally be required for site visits, meetings with regulatory agencies, or training seminars.
Required:
High attention to detail while managing multiple urgent permitting projects simultaneously. Excellent computer skills, including Google Workspace, Monday.com, Adobe, and internet-based CRM/accounting platforms (NetSuite preferred). Proven ability to work collaboratively and at a faster than normal pace. Ability to quickly identify and solve problems, workflow issues, and roadblocks in the permitting process. Excellent written and verbal communication skills. Strong organizational ability while following both written and verbal instructions of supervisors. Ability to follow safety protocols.
Preferred:
Prior experience in licensing or permitting for live events. Experience working with federal, state, and local permitting authorities. Knowledge of federal, state, and local regulations for the safe storage and use of pyrotechnics and special effects. Working knowledge of the proper and safe operation of special effects and pyro equipment (preferred but will train).
