We are seeking a highly organized, technically fluent Studio Operations Coordinator to serve as the operational backbone of our small creative studio. You will work closely with the Principal to organize incoming information, maintain project and procurement systems, support administrative and financial workflows, and ensure important details do not fall through the cracks. The right person enjoys creating order, closing loops, solving problems, and using systems to keep work moving. You can take written and verbal direction, organize it into a workable plan, adapt as priorities shift, and carry work through to a reliable outcome while proactively communicating status, road blocks, and next steps. Who & What We're Looking For in operations, information technology, office management, executive support, project coordination, procurement/purchasing, AEC/construction, systems implementation, analytics, technical project support, or another detail-intensive professional environment. A bachelor's degree or equivalent professional experience is preferred. you manage many moving parts, accurately capture written and verbal information, distinguish what needs attention now from what can wait, create a reliable plan, and consistently close open loops. : you focus on the intended outcome, notice missing information, unanswered questions, approaching deadlines, or incomplete handoffs, and follow up without prompting. You verify that work has been communicated, filed, scheduled, or completed before considering it done. you acknowledge important requests promptly, communicate progress and blockers, and keep the people relying on you informed without being chased for updates. Dependability, accurate timekeeping, and visible follow-through are essential. : you can teach yourself unfamiliar business software using training resources, support specialists, research, and testing; troubleshoot routine issues independently; and understand how information and workflows connect across systems. : you can turn meetings, emails, documents, and verbal updates into concise takeaways, specific trackable tasks, accurate records, and clear action plans rather than simply transcribing information. you know what you can resolve independently, what requires approval, when to escalate a blocker, and how to keep higher-priority work moving rather than becoming stuck on one detail. Polished communication, discretion, comfort with numbers and detail-sensitive data, and a calm, service-oriented approach. You enjoy supporting a small business and can work closely with leadership while remaining independently accountable. Key ResponsibilitiesProject & Information Management Maintain Smartsheet project flow, schedules, specification workbooks, reports, deadlines, dependencies, project status, and task visibility. Translate meeting notes, emails, decisions, and project information into action plans, current records, calendar updates, and the appropriate LRID systems. Manage project files, important emails, downloads, meeting notes, and reference documents so information is accurately named, saved, current, and easy to retrieve. Procurement & Vendor Operations Become highly proficient in Studio Designer and support procurement from client/project setup through items, proposals, purchase orders, ordering, vendor communication, tracking, deliveries, damages, and open issues. Maintain trade accounts and vendor information, coordinate with suppliers and workrooms, and support studio sample/resource organization. Financial & Administrative Support Enter and track expenses, manage timesheets, maintain organized account information and records, and assist with recurring AP/AR and accounting tasks. Systems, Studio Operations & Continuous Improvement Learn and confidently use Smartsheet, Studio Designer, Dropbox, Microsoft/Google tools, and other LRID systems

• Maintain calendars and participate in workload/capacity review for yourself and the Principal Designer. Training You will work closely with the Principal Designer to learn LRID systems, processes, and project workflows through clear priorities and milestones. This is intended to be a meaningful, long-term role with room to grow into greater operational responsibility. Why Join Us This role offers a close working relationship with leadership and the opportunity to make a direct impact on how a growing studio operates. It combines systems, organization, procurement, administration, and problem-solving within a creative industry. The workday is varied, with exposure to architects, builders, trades, vendors, industry events, and professional opportunities. It may be especially appealing to someone who is systems-minded, analytically curious, and enjoys using technology and process improvement to make a small business run better.
