We are excited to announce that we are looking for a Full-Time, Procedure Scheduler at Coastal Gastroenterology Associates in Brick, NJ. About the
Role:
The Procedure Scheduler plays a critical role in the healthcare delivery process by efficiently coordinating and scheduling medical procedures for patients within a healthcare facility. This position ensures that all procedural appointments are accurately booked, taking into account physician availability, patient needs, and resource allocation to optimize operational flow. The Procedure Scheduler acts as a liaison between patients, healthcare providers, and administrative staff to facilitate clear communication and timely scheduling. By managing appointment logistics and maintaining detailed records, this role directly contributes to enhancing patient satisfaction and supporting clinical teams in delivering high-quality care. Ultimately, the Procedure Scheduler helps to streamline procedural workflows, reduce scheduling conflicts, and improve overall healthcare service efficiency.
Responsibilities:
Coordinate and schedule medical procedures by communicating with patients, physicians, and clinical staff to confirm availability and requirements. Verify patient information, insurance coverage, and pre-authorization needs to ensure compliance and smooth processing of procedures. Maintain accurate and up-to-date scheduling records in electronic health record (EHR) systems and other scheduling software. Manage appointment changes, cancellations, and rescheduling while minimizing disruptions to clinical operations. Provide timely reminders and instructions to patients regarding their scheduled procedures to enhance preparedness and reduce no-shows. Collaborate with multiple departments to resolve scheduling conflicts and optimize resource utilization. Assist in generating reports related to procedure volumes, scheduling efficiency, and patient flow metrics.

The Procedure Scheduler utilizes strong organizational skills daily to manage complex appointment calendars and ensure efficient use of clinical resources. Effective communication skills are essential for interacting with patients, healthcare providers, and insurance representatives to coordinate scheduling and resolve issues. Proficiency with EHR systems and scheduling software enables accurate data entry, retrieval, and reporting, which supports operational decision-making. Problem-solving skills help the scheduler address conflicts and adapt to last-minute changes while maintaining a smooth workflow. Additionally, knowledge of medical terminology and healthcare procedures allows the scheduler to understand clinical requirements and provide clear instructions to patients, enhancing the overall patient experience.
Minimum Qualifications:
High school diploma or equivalent required; associate degree or higher preferred. Previous experience in medical scheduling, healthcare administration, or a related field. Familiarity with medical terminology and healthcare procedures. Proficiency in using electronic health record (EHR) systems and scheduling software. Strong organizational and communication skills.
Preferred Qualifications:
Certification in medical office administration or healthcare scheduling (e.g., Certified Medical Administrative Assistant). Experience working in a hospital or outpatient clinical setting. Knowledge of insurance verification and pre-authorization processes. Ability to handle multiple tasks in a fast-paced environment with attention to detail. Bilingual skills to assist a diverse patient population.
