Job Description

Position Summary The Associate - Operations & Vendor Coordination will support day-to-day activities related to quotation management, purchase order processing, vendor follow-ups, and shipment coordination. This role is critical to ensuring timely procurement and delivery of pharmaceutical products while maintaining compliance with GDP, DSCSA, and temperature-controlled logistics requirements. Key Responsibilities 1. Quotation & Order Management Prepare and share quotations with customers based on vendor pricing and availability Review and process incoming purchase orders (POs) with accuracy and timeliness Maintain records of quotations, pricing, and order status 2. Vendor Coordination Communicate with vendors and distributors to obtain pricing, availability, and lead times Follow up regularly to ensure timely order confirmation and dispatch Coordinate lot numbers, expiry dates, and documentation prior to procurement 3. Shipment & Logistics Coordination Arrange shipments, including domestic and international logistics Ensure appropriate temperature-controlled packaging (e.g., 2-8°C, controlled room temperature, frozen conditions) Coordinate use of thermal shippers (e.g., Credo boxes) and temperature monitoring devices Avoid shipment risks (e.g., weekend holds for cold chain products) and ensure compliance with shipping protocols 4. Documentation & Compliance Prepare and verify shipping documentation, invoices, and packing lists Support DSCSA compliance including traceability documentation and EPCIS file coordination Maintain records of temperature excursions and shipment conditions 5. Internal Coordination Work closely with sales, finance, and quality teams to ensure seamless order fulfillment Provide status updates on orders, shipments, and vendor communications Support issue resolution related to delays, discrepancies, or quality concerns Qualifications Bachelor's degree in Pharmacy, Life Sciences, Supply Chain, or related field preferred 1-3 years of experience in pharmaceutical distribution, supply chain, or logistics preferred Familiarity with temperature-controlled shipping and cold chain logistics is a plus Strong organizational and communication skills Proficiency in Microsoft Office (Excel, Outlook) Ability to manage multiple tasks in a fast-paced environment Key Competencies Attention to detail and accuracy Strong follow-up and vendor management skills Understanding of pharmaceutical handling and storage requirements Problem-solving mindset with proactive communication Work Environment Office-based role with coordination across warehouse and logistics partners May require occasional coordination outside standard hours to manage shipments
Pay:
$20.00 - $30.00 per hour
