The position is responsible for the daily installation schedule to ensure flooring projects (including carpet, hardwood, tile, laminate, vinyl, and specialty services) is completed efficiently, on time, and in alignment with company standards and client expectations. This role serves as the central point of communication between internal and external stakeholders.
Responsibilities include:
Maintain clear, professional, and timely communication with clients, field managers, installers, and internal team members Utilize the scheduling system (e.g., RFMS) to ensure all jobs are scheduled accurately and in accordance with client expectations and project timelines Respond to all scheduling-related inquiries from field managers, installers, and clients within one (1) hour of receipt during business hours Ensure all scheduling requests comply with current operational protocols and company procedures Send scheduling confirmations for each project to the appropriate parties (client, Project Manager, Project Administrator, and/or Sales) upon scheduling Communicate proactively regarding schedule changes, delays, or conflicts, and coordinate timely resolutions Distribute a complete and accurate schedule to the office team no later than the day prior to scheduled work Maintain accurate and up-to-date job records, notes, and scheduling data within company systems Support operational efficiency by identifying scheduling improvements and escalating issues as needed Maintain organized records and documentation related to scheduling activities - hard copy and/or electronic Participate in team meetings and cross-functional coordination efforts Follow all applicable Rays Flooring policies and procedures
Requirements:
Education:
Requires a High School Diploma or General Education Degree (GED).
Experience:
Requires at least two (2) years' experience in scheduling coordinator or related position required. Experience coordinating field operations; ability to align schedules based on crew availability, job scope, location, and deadlines in a flooring or similar industry.
Bilingual:
Spanish preferred.
Schedule:
Monday through Friday, 7 am to 4 pm, with a 1-hour unpaid lunch.
Communication & Customer Service:
Clear, professional, and timely communication with clients, installers, and internal teams; ability to manage high-volume inquiries while maintaining service standards
Organization & Multitasking:
Strong ability to manage multiple jobs, crews, and priorities simultaneously with a high level of accuracy and attention to detail
Problem-Solving & Adaptability:
Quick decision-making to adjust schedules due to delays, call-outs, or changing project needs while minimizing disruption
Accountability & Follow-Through:
Tracks projects from scheduling through completion and closeout; ensures accuracy of data, communication, and execution
Time Management & Sense of Urgency:
Meets tight deadlines and response expectations (e.g., 1-hour response time) in a fast-paced environment
Technical Proficiency:
a) Microsoft Windows environment with Office Suite to include formatting and production of documents. Proficient in Microsoft Word, Excel and Outlook Calendar and Email.

The position requires prolonged periods of sitting and regular use of a computer, including a monitor, keyboard, and other standard office equipment. There is extensive repetitive motion in using hands/wrists. The employee regularly is required to stand and walk throughout facility. Frequent use of hands and fingers to handle, manipulate, and feel objects, tools, and controls, including operating a computer, keyboard, and phone system; navigating scheduling and payroll software; and handling paperwork. Requires the ability to reach with hands and arms, such as retrieving files, accessing office equipment (printers, scanners), and organizing materials within the workspace. The Employee frequently lifts and/or moves between twenty-five (25) pounds. Specific vision abilities required by this job include close vision, ability to adjust focus, and manual dexterity in combination with eye/hand coordination. Auditory abilities required by this job include the ability to accurately hear information. The work environment is subject to interruptions, varying and unpredictable situations and time pressures related to multiple tasks.
Pay Rate:
Starting at $18.00 per hour, with opportunity for higher pay based on experience and qualifications.
