Description We are looking for an Operations Specialist to support daily project coordination and service delivery for a long-term contract opportunity. This role will help keep field activity organized by aligning schedules, monitoring job progress, and ensuring customers receive timely updates. The ideal candidate is highly organized, communicates effectively with vendors and clients, and can manage multiple moving parts across active work orders.
Responsibilities:
- Coordinate project and service schedules, distribute updates to the appropriate teams, and help maintain alignment across ongoing assignments.
- Communicate regularly with field supervisors to assess upcoming job demands and anticipate staffing, material, or subcontractor needs.
- Oversee material deliveries by confirming receipt, documenting job readiness, and ensuring records are available for accounts payable processing.
- Finalize completed work orders in tracking systems and confirm that job documentation is accurate and up to date.
- Review subcontractor work for completion, approve deliverables, and process related follow-up actions as needed.
- Prepare and send customer proposals, with a focus on retail fixture, banking, and residential service requests.
- Arrange outside service providers for trades such as plumbing, windows, doors, locks, and contract heating or cooling equipment.
- Track open subcontractor assignments, obtain status updates, and provide customers with clear communication on progress and next steps. Requirements
- Experience in operations, service coordination, dispatching, or project support within a fast-paced environment.
- Strong ability to manage schedules, prioritize competing tasks, and keep multiple jobs moving efficiently.
- Clear written and verbal communication skills for working with customers, field teams, and subcontractors.
- Familiarity with documenting deliveries, job status updates, and completion records with strong attention to detail.
- Ability to review vendor or subcontractor progress and follow through on outstanding work items.
- Proficiency with standard business systems and office tools used for scheduling, tracking, and reporting.
- Background supporting service-based, construction-related, or field operations environments is preferred.
- Exposure to customer-facing industries such as consumer banking, lending, or call center operations is a plus.
