Job Description

York College (NY), an NCAA Division III institution and member of the City University of New York Athletic Conference (CUNYAC), is seeking an individual to serve as Athletics Internal Operations Assistant. Reporting directly to the Director of Athletics, the Athletics Internal Operations Assistant will be responsible for various administrative responsibilities within the Department of Athletics & Recreation, which includes but is not limited to the following; scheduling meetings, answering calls, monthly reports, maintaining records and general office files, planning and implementing student-athlete success programming and initiatives, assisting compliance area responsibilities, assisting with planning and coordination of internal events, and other administrative duties as assigned by the Director of Athletics or their designee. York Athletics:
Adhere to York College, York Athletics , The City University of New York (CUNY), The City University of New York Athletic Conference (CUNYAC), and NCAA policies and procedures. Maintain knowledge of departmental activities, sports schedules, and procedures. Foster cooperative working relationships with immediate supervisor and staff members who work within or outside the work unit. Support the athletics department goals and philosophies as described by the Director of Athletics and work to achieve and uphold the department's mission statement and core values. Maintain a positive attitude toward performing job duties and in working with other staff members. Exhibit professional decorum at all times while representing York Athletics.
Required Education & Experience:
Bachelor's degree from an accredited four-year institution. A minimum of two years professional paid work experience in a collegiate athletics administrative or managerial capacity.
Position Responsibilities Include:
Perform routine clerical work; answer and attend to telephone calls; maintain records, operate office machines, act as a messenger, and perform related departmental tasks as required. Under the direction and approval of the Athletic Director or their designee, plan and implement student-athlete success programming and initiatives in collaboration with other departments and constituents on campus, and /or external resources (eg. NCAA staff or partners). Assist with the planning, oversight and execution of internal events, including game-day operations, departmental & institutional events, fundraising initiatives etc. Assist Compliance Officer with initial eligibility check process, team compliance meetings, and related administrative duties. Act as liaison to other offices and departments on campus to request materials and/or services from the Athletics & Recreation department. Maintain the HPEC decorum and informational posting around the facility, including but not limited to bulletin boards, Coaches & Recreation Office, Student-Athlete Academic Lab, Swimming Pool Office, etc. Provide administrative oversight, direction, training and support to student volunteers and interns for the effective and professional administration of the department. Oversee mascot requests and coordinate athletic department presence at campus events eg. NSO. Order, secure, manage and maintain office supplies and equipment. Organize and oversee all Student-Athlete Advisory Committee (SAAC) meetings; take and distribute minutes. Assists in statistical or research activities, such as Assessment or Compliance. May collect and compile data, code data for computer entry, perform data entry, and run computer reports. Enters and maintains departmental records such as inventory control records, rosters, directories, and schedules. May operate computers, computer software, and other electronic equipment in performing assigned tasks. Additional duties as assigned by the Director or their designee.
Skills & Knowledge Required:
Demonstrated skills and competencies in NCAA athletics and office administration, and ability to manage multiple administrative tasks while meeting deadlines. Ability to creatively problem-solve information management challenges. Professional communication skills, both oral and written. Ability to interact professionally and effectively with staff, volunteers, faculty, staff, students, community residents, visitors, renters and vendors. Familiarity and compliance with office protocols involving dress, demeanor, record keeping, discretion and confidentiality, staff meetings, visitors, and employee use of supplies and equipment. Experience with the Adobe Suite software preferred. Computer proficiency in Microsoft Word, Access, Publisher, and Excel.
