Job Description

Job Overview We are seeking a dynamic and detail-oriented Inside Operations Resource Coordinator to join our team. In this vital role, you will serve as a key point of contact within our internal operations, ensuring seamless communication and efficient coordination across departments. Your energetic approach and strong organizational skills will help streamline workflows, support customer and client interactions, and contribute to the overall success of our operations. This paid position offers an exciting opportunity to develop your skills in a fast-paced environment while making a meaningful impact.
Job Functions:
  • Respond to questions relating to the scheduling of estimates, jobs in progress, certificates of insurance, etc.
  • Assist customers and prospective customers with their inquiries or concerns.
  • Work closely with the field manager to provide the very best service to customers. This includes following a step-by-step process from point of sale to completion, with timelines for customer contact points.
  • Update all scheduling tools: Smartsheets, Production Tracker and Google Sheets job board.
  • Set up job folders for all jobs sold.
  • Work with customer and field managers to order materials.
  • Ensure all documents are signed and in job folder before start of job.
  • Coordinate acquiring permits for all jobs if needed.
  • Contact customers upon confirmation of sale to thank and welcome them; discusses next step with customers including start day and time.
  • Track all committed and pending production dates.
  • Contact customers after job is completed to thank them for their business.
  • Work closely with field managers to complete and send invoicing.
  • Assist customers and prospective customers with their inquiries or concerns; takes ownership for customer problem resolution.
  • Make calls to customers for crew leaders and salesmen as requested.
  • Gets deposits prior to job starting.
  • Collects signed lead forms from customer.
  • Schedule and/or attend weekly meetings as necessary.
  • Other duties as assigned.
Education and Experience:
  • High School Diploma or GED
  • Experience in the customer service or painting industry strongly preferred
