About Us We are a premier Audio/Video, Security and Automation company servicing high net worth households. Headquartered in Westhampton Beach, we are dedicated to delivering exceptional service to our clients across Long Island. We pride ourselves on our professionalism, reliability, and the high-quality work our technicians perform every day. To support our growing business, we are looking for a highly organized and proactive Operations Coordinator to be the backbone of our daily operations. The Role Reporting directly to the Operations Manager, the Operations Coordinator serves as the critical link between our clients, our field technicians, and our back office. You will not just be answering phones; you will be actively managing the daily schedule, securing parts and equipment, and ensuring every client receives a "white-glove" experience from the first phone call to the final invoice. Key Responsibilities Front-Line Client Communication:
Serve as the primary point of contact for clients via phone, email, and text message. Handle inquiries, resolve issues, and ensure a highly professional and welcoming experience.
Dispatch & Scheduling:
Efficiently schedule and route installation and service calls for our field technicians, minimizing drive time and maximizing daily revenue.
Appointment Management:
Proactively confirm upcoming appointments, update clients on technician arrival times, and communicate any delays.
Inventory & Purchasing:
Place accurate orders for equipment, materials, and parts required for upcoming installations and service tickets.
Billing & Administration:
Process client billing and invoicing accurately, follow up on outstanding accounts, and assist the Operations Manager with data entry and back-office tasks.
What We're Looking For Experience:
3 to 5 years of experience in operations, dispatch, or high-level client coordination. (Experience in the home services, HVAC, plumbing, or electrical industries in the Hamptons is a massive plus).
Tech-Savvy:
Comfortable learning and mastering field service management software and standard accounting/billing tools like QuickBooks.
Communication:
Exceptional written and verbal communication skills. You must be able to draft professional emails, send clear text updates, and speak confidently with high-end clientele.
Problem Solver:
The ability to stay calm under pressure, juggle multiple moving parts, and pivot quickly when a technician's schedule changes unexpectedly.
Pay:
$28.00 - $35.00 per hour Expected hours: 40.0 per week
