Home Health Scheduler Haven Home Health and Hospice - 4.5 Norman, OK Job Details Full-time 1 day ago Qualifications Customer relationship building Achieving HIPAA compliance Maintaining patient confidentiality HIPAA Client relationship development Administrative experience Driver's License Full Job Description The Scheduler plays a key role in ensuring high-quality care by coordinating staff visits according to each patient's plan of care. This position supports both field and office staff by efficiently organizing schedules within geographic areas, aligning staff skills and personalities to best meet patient needs, and ensuring a seamless experience for patients and caregivers. Qualifications Exceptional verbal and written communication skills. Strong interpersonal skills, with the ability to demonstrate empathy, tact, and professionalism in all interactions. Solid understanding of general office procedures and administrative functions. Ability to manage competing priorities and respond calmly under pressure or in sensitive situations. Maintains confidentiality at all times and adheres to HIPAA guidelines. Detail-oriented with strong follow-up and organizational skills. Proficient with scheduling software and multitasking in a fast-paced environment. Self-motivated and capable of working independently with effective time management and coordination skills. Demonstrates the ability to build and maintain positive relationships with staff and clients. Must have a valid driver's license, reliable transportation, and current auto insurance. Must be willing and able to drive within the service area in various weather conditions. Responsibilities Coordinate daily staff schedules to align with patient care needs and staff qualifications while maximizing efficiency and continuity of care. Ensure timely staffing of all visits and communicate any staffing concerns with leadership. Match staff skillsets and personalities to individual patient needs to enhance satisfaction for both patients and employees. Provide proactive communication with patients and staff, including schedule reminders and updates. Update and maintain call schedules and documentation accurately. Assist with onboarding and orientation of new staff, including scheduling ride-along visits and explaining scheduling protocols. Participate in staff meetings and provide feedback to improve operational processes. Support the office with clerical duties such as filing, mailing, and data entry. Maintain a high standard of customer service while handling confidential patient information in compliance with HIPAA and company policies. Perform all other duties as assigned Organizational Relationship Reports to the Director of Clinical Services or other manager as assigned. Functional Abilities Emotionally mature with the ability to build respectful and productive relationships with patients, families, and staff. Ability to remain focused and productive in a dynamic and frequently interrupted environment. Comfortable using the phone and computer regularly throughout the day. Flexible and adaptable to changing tasks and shifting priorities. Able to work in high-pressure settings and outside of regular business hours when necessary. Must be physically and mentally capable of performing the essential job functions. Willingness and ability to travel within the service area. Physical Requirements Prolonged periods of sitting and computer use. Requires manual dexterity, hand-eye coordination, and full range of motion. Ability to lift up to 50 lbs as needed.
