Job Description

West Whiteland Township is seeking a highly organized and motivated Operations Assistant to join our Codes Department. This full-time position provides critical administrative and technical support while working collaboratively across the Township's Codes, Administration, Finance, Planning & Zoning, and Public Works Departments. About the Township Located approximately 30 miles west of Philadelphia in the heart of Chester County, West Whiteland Township is a vibrant suburban community of 19,600 residents, with a daytime population exceeding 26,000. Centered around the Exton Crossroads (Routes 30 and 100), the Township continues to experience growth, redevelopment, and exciting new projects. Position Overview The Operations Assistant plays a key role in supporting Codes Administration and Zoning functions while serving as a central coordination point across multiple Township departments. This position works closely with the Codes Director, Building Code Officials, Township Administration, and professional staff to manage administrative operations, permitting processes, and public inquiries. This is a dynamic role in a fast-paced environment where team members collaborate and take on multiple responsibilities. The ideal candidate is detail-oriented, adaptable, and comfortable juggling competing priorities and deadlines. Key Responsibilities Provide administrative and confidential support to the Codes Director and department staff Serve as a primary point of contact for public inquiries, including Right-to-Know requests, in coordination with the Administration Department Conduct parcel and permit follow-up, ensuring accurate tracking, status updates, and communication Manage permit applications, inspections, and enforcement tracking Maintain the Permit and Inspection System and GIS-based records (ESRI experience a plus) Assist with project coordination, budgeting, and departmental reporting Collaborate across departments to ensure smooth workflow and information sharing, including: Administration
  • Right-to-Know coordination and general administrative processes Finance
  • posting payments, reconciling accounts, and running financial reports Planning & Zoning
  • coordinating land development projects as they transition to Codes after approval Public Works
  • tracking sewer-related submissions, including applicant-completed sewer surveys Prepare reports, correspondence, and enforcement notices Coordinate meetings, schedules, and staff training Maintain records, files, and documentation in accordance with retention policies Support boards, committees, and special projects as assigned What We're Looking For Strong organizational skills and the ability to juggle multiple responsibilities and deadlines Excellent written and verbal communication skills High level of professionalism and ability to handle confidential information Proficiency in Microsoft Office; experience with MS SharePoint preferred Ability to quickly learn new systems and software Knowledge of GIS platforms (ESRI experience a plus) Interest in municipal government, codes, public works, or land development processes Qualifications Associate degree required; Bachelor's degree preferred Prior municipal government experience preferred Experience in engineering, public works, codes administration, or related fields is a plus Familiarity with municipal processes, record retention, and regulatory compliance preferred Work Environment West Whiteland Township maintains a collaborative, supportive, and service-oriented workplace.
