Clinical Operations Coordinator Falmouth, ME 04105 Hybrid work $27 an hour - Full-time $27 an hour - Full-time Position Summary The Clinical Operations Coordinator provides operational and administrative support within a fast-paced, multi-site post-acute medical practice. This role supports the execution of day-to-day operational workflows related to medical staff support, onboarding, technology coordination, communication systems, compliance tracking, and administrative operations. The Clinical Operations Coordinator plays a key role in maintaining organizational efficiency by ensuring timely follow-through on operational tasks, supporting medical staff and employees, and assisting with the infrastructure necessary for effective clinical operations across multiple facilities and service lines. Essential Duties & Responsibilities Operational & Administrative Coordination Support the day-to-day operational functions of the organization through coordination of administrative workflows, operational tracking, and task management. Assist with scheduling and coordination of operational meetings, medical director meetings, and other organizational activities. Coordinate ad hoc operational requests, projects, and workflow needs as assigned by leadership. Maintain operational records, internal tracking systems, spreadsheets, and organizational documentation. Coordinate ordering and management of operational supplies, equipment, and facility-related purchases. Assist with employee engagement initiatives and internal operational support activities. Medical Staff & Employee Support Coordinate administrative onboarding and offboarding processes for medical staff and employees. Support completion of onboarding documentation, account setup, technology coordination, and operational readiness tasks. Assist with medical staff and employee access requests for clinical and operational systems. Maintain onboarding and credentialing tracking records and ensure timely completion of assigned onboarding tasks. Assist with recruitment support activities, including job posting coordination and workforce administrative support. Communication Systems & Technology Administration Assist with administration and maintenance of organizational communication and technology platforms used to support clinical operations. Coordinate updates to medical staff call schedules, communication routing workflows, and operational system settings. Support user account management, subscription management, device coordination, and technology-related operational needs. Maintain internal communication groups, email distribution lists, and operational communication workflows. Assist with coordination of operational technology issues and vendor-related support requests. Compliance, Tracking & Operational Support Maintain operational logs, organizational records, and compliance-related tracking tools. Assist with audits, operational monitoring activities, and internal documentation processes. Coordinate tracking and processing of reimbursement requests, medical staff allowances, and assigned operational reporting tasks. Support organizational workflow compliance through accurate documentation, follow-up, and task completion. Qualifications Prior experience in healthcare administration, healthcare operations, medical office coordination, primary care, or related operational support roles preferred. Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously. Excellent attention to detail and follow-through. Strong written and verbal communication skills. Proficiency with Microsoft Office, Google Workspace, and healthcare technology systems. Ability to work independently while maintaining collaboration with operational and clinical leadership teams. Experience in post-acute care, long-term care, multi-site healthcare operations, or primary care environments preferred.
