Office Support Specialist This Holistic Consulting client is a structural engineering firm serving New England, delivering high-quality structural engineering for residential and commercial projects. Founded by a licensed Professional Engineer, the firm has built its reputation on responsiveness, reliability, and work that is clear, buildable, and cost-conscious. Over 80% of business comes from repeat clients and referrals — architects, developers, and builders who rely on consistent execution. About the Role We're looking for an Operations & Business Support Specialist to join the business on a part-time 1099 basis targeting around 10 hours weekly. This role is designed to function as a trusted operational partner — not a task-taker. You'll manage the day-to-day flow of communication, keep client and team communications organized, and ensure nothing slips through the cracks. This is not a role where you wait to be told everything to do. You'll get up to speed and with time see what needs to happen next and handle it. Responsibilities will include daily business operations across client communication, contractor communications, and internal operations.
This includes:
Managing inbox flow and client communication Tracking proposals and following up on open opportunities Maintaining project visibility across active jobs Coordinating with contractors and ensuring alignment Manage billing and invoicing Supporting administrative processes and documentation Recurring tasks like insurance renewals, license renewals etc. What the Work Actually Looks Like The work is structured into two focused daily blocks (~1 hour each). You'll monitor and manage the inbox — filtering, responding where appropriate, and escalating anything important. You'll track proposals, follow up on outstanding items, and maintain visibility into the business pipeline. Internally, you'll check in with contractors, keep the project tracking system accurate, and ensure timelines, statuses, and billing visibility are up to date. You'll maintain a live view of all active work and help coordinate anything operational that keeps projects moving. Over time, as you get comfortable with the rhythm, you'll begin to take on additional responsibilities — outreach tracking, light marketing support, and process improvements. What We're Looking For Highly organized with strong attention to detail Proactive — you don't wait for direction when something is obvious Clear, professional communicator (written and verbal) Comfortable managing multiple moving pieces at once Able to handle client-facing communication with good judgment Experience in operations, admin, project coordination, or similar roles Comfortable with tools like Gmail, Slack, and project tracking systems Reliable and self-managed This role is best suited for someone who takes pride in creating order, keeping things on track, and being the person others can rely on. Compensation Part-time 1099 arrangement (~10 hours/week).$30/hour, 10 hour per week target with growth potential as responsibility increases. For the right person, this has the potential to become a consistent, long-term role with expanded scope.
