Job Summary IBI Motorsports is launching a new online motorcycle community and searchable visual build gallery for custom motorcycles, builders, and enthusiasts. Our first community, IBI Motorcycles, will be built around a Skool-based membership community and an outside image-researched build gallery where members can discover custom motorcycle inspiration, parts, build ideas, builders, and project references. We are looking for an organized, proactive, detail-oriented Operations Coordinator / Founder's Assistant to help turn a fast-moving startup concept into a structured, trackable, and executable business operation. This role is ideal for someone who enjoys organizing big ideas, creating systems, managing checklists, tracking tasks, helping build workflows, and keeping a founder focused and on schedule. The right person will help organize launch priorities, manage project details, assist with Skool community setup, support content and research workflows, track builder/member outreach, and help document repeatable processes as IBI Motorsports grows. This is not a basic clerical role. We are looking for someone who can help create order, structure, accountability, and momentum during the early launch phase of a new motorsports community brand. Local Metro Detroit candidates are preferred, especially near Bloomfield Hills, Birmingham, Troy, Royal Oak, Rochester, Auburn Hills, Southfield. Some remote work may be possible, but occasional in-person meetings may be needed. Duties Organize and maintain the master IBI Motorsports launch checklist, task list, and priority dashboard. Help the founder stay on track with weekly goals, deadlines, follow-ups, and action items. Create and maintain organized Google Drive folders, spreadsheets, documents, checklists, and project trackers. Assist with the setup and organization of the IBI Motorcycles Skool community, including onboarding steps, welcome posts, classroom structure, member instructions, FAQs, and launch materials. Help organize the image-researched motorcycle build gallery, including category structure, research workflow, tagging ideas, source links, builder information, motorcycle categories, parts categories, and visual inspiration references. Assist in building and maintaining spreadsheets for motorcycle build research, builder outreach, member tracking, content planning, vendor lists, sponsor prospects, and platform comparisons. Help turn rough founder notes, voice notes, ideas, and strategy discussions into clean written documents, checklists, action plans, and operating procedures. Support outreach tracking for motorcycle builders, content creators, community members, vendors, sponsors, and potential partners. Help prepare and organize forms, intake questions, submission workflows, and research templates for builders, members, and featured motorcycles. Create and maintain standard operating procedures for repeated tasks such as image research, build sheet preparation, Skool posting, member onboarding, follow-ups, and data organization. Help coordinate content planning for social media, community posts, builder spotlights, feature build ideas, and launch announcements. Monitor open tasks, pending decisions, missed follow-ups, and unfinished projects so nothing falls through the cracks. Prepare weekly progress summaries showing what was completed, what is still open, what needs founder approval, and what the next priorities are. Research tools, platforms, software, community examples, image gallery systems, AI tools, and workflow solutions as needed. Assist with basic copy cleanup, formatting, proofreading, and organization of documents, posts, ads, FAQs, and member-facing materials. Help create a professional operating structure as the business moves from idea stage into soft launch, founder launch, and paid community growth. Experience Desired Administrative support, operations coordination, executive assistant work, project coordination, community coordination, or startup support. Strong organizational skills with the ability to manage multiple projects, tasks, folders, documents, deadlines, and priorities at the same time. Comfortable working directly with a founder or business owner in a fast-moving, early-stage business environment. Experience using Google Workspace, including Google Drive, Docs, Sheets, Gmail, and Calendar. Comfortable with spreadsheets, trackers, checklists, shared folders, task lists, and basic project management systems. Ability to learn and work with online platforms such as Skool, Airtable, Notion, Canva, or similar tools. Comfort using AI tools such as ChatGPT to help summarize notes, organize information, draft documents, create checklists, and improve workflow speed. Strong written communication skills with the ability to turn rough ideas into clean, organized, professional written material. Ability to create structure from unclear or unfinished ideas. Strong attention to detail, including spelling, formatting, missing information, broken links, inconsistent data, and incomplete tasks. Ability to follow up professionally with contacts, members, builders, vendors, and potential partners. Interest in motorcycles, motorsports, custom vehicles, online communities, social media, content creation, or enthusiast brands is strongly preferred. Experience with online communities, membership platforms, social media content planning, research projects, or digital product launches is a plus. Must be trustworthy, reliable, discreet, and comfortable handling confidential business plans, launch materials, member data, and partnership information. The best fit will be someone who is organized, proactive, tech-comfortable, calm under pressure, and excited to help build something new from the ground up.
