Job Description

Full-time | Hybrid Remote amp; In-Person Family Hope Solutions is seeking a highly organized, proactive professional who excels at communication, problem-solving, and keeping operations running smoothly. This position serves as the primary point person for scheduling and coordinating services between families, RBTs, and BCBAs while also assisting with clinic organization and operational efficiency. We're seeking someone who enjoys building and maintaining efficient systems, keeping operations running smoothly, and supporting a growing clinical team. Scheduling experience, office management, administrative, or operations experience is strongly preferred. Experience in the ABA field is strongly preferred. Primary Responsibilities Manage and maintain client and staff schedules - Coordinate schedule changes, coverage needs, cancellations, and make -up sessions Communicate with RBTs and BCBAs to ensure schedules remain efficient and effective Initiate the client onboarding process by contacting new families, gathering required information, and coordinating next steps Troubleshoot scheduling conflicts and proactively identify solutions Support staffing coordination and caseload management Assist with clinic organization, inventory. management, and operational projects Help develop and maintain organized systems and processes within the clinic Maintain accurate records and documentation Assist with administrative tasks and day-to-day operations as needed Qualifications Experience in ABA, healthcare, education, therapy services, scheduling or office administration preferred Previous experience in scheduling, operations, adminsitrative coordination, or office management strongly preferred Exceptional organizational and time-management skills Strong communication and interpersonal skills Ability to manage multiple priorities and deadlines simultaneously Professional, dependable, and detail-oriented Comfortable working independently while collaborating witha. team Strong problem-solving and critical thinking abilities Proficiency with technology and scheduling software What We're Looking For This role is perfect for someone who loves organization, enjoys helping others, and can keep dozens of moving pieces running smoothly at once.
