Job Description

Position Overview Liberty Hill Youth Soccer Association (LHYSA) is seeking a highly organized and detail-oriented Club Operations Administrator to support daily club operations. This role focuses on registration management, compliance tracking, communication, and uniform/equipment coordination across both recreational and competitive soccer programs. This position is critical to ensuring a smooth and professional experience for players, families, coaches, and staff. This is a part-time, 1099-contract position beginning in May'26 and running through April'27. Key Responsibilities Registration & Systems Manage Got Sport registration platform (program setup, user support, reporting) Create teams, manage rosters, and register teams for league play Process payments, refunds, and account updates Track balances and assist with billing in coordination with the Treasurer Team & League Operations Coordinate with leagues (CAYSA, SLA, WDDOA, STX-CL) Ensure teams are registered in correct divisions and meet deadlines Maintain accurate rosters and process transfers/waitlists Compliance & Onboarding Track and verify compliance requirements (KidSafe or equivalent) Manage onboarding for players, coaches, and volunteers Maintain documentation and certifications Communication & Support Serve as primary point of contact for families and coaches (email-based) Respond to inquiries in a timely and professional manner Share updates on registration, programs, and club operations Uniforms & Equipment Coordinate ordering, distribution, and inventory of uniforms and equipment Manage vendor relationships (Score Sports, Soccer.com, Seven Clay) Track inventory and oversee seasonal setup and reconciliation Program & Event Support Assist with tryouts, tournaments, and seasonal programming Support recreational (D4) and competitive (D3 & Liberty United) program needs Train and support team managers Qualifications Strong organizational and administrative skills High attention to detail and accuracy Ability to manage multiple priorities and deadlines Excellent communication and customer service skills Experience in youth sports, club, or nonprofit administration Experience with registration platforms (GotSport preferred) Proficiency with Google Drive and spreadsheets Preferred Experience with league registration and roster management Compensation & Benefits 1099 contractor position 25% player discount
