Full Job Description Work Schedule Monday-Tuesday:
7:00 AM•4:00 PM (1-hour lunch)
Wednesday-Thursday:
7:00 AM•5:00 PM (1-hour lunch)
Friday:
7:00 AM•1:00 PM (15-minute break) Position Overview We are seeking a highly organized and team-oriented Project Coordinator / Scheduler to support daily operations and ensure projects are completed efficiently from start to finish. This role plays a critical part in coordinating between departments, managing schedules, and maintaining clear communication with both internal teams and customers. The ideal candidate thrives in a fast-paced environment, is detail-oriented, and works well collaboratively across multiple departments. Key Responsibilities Project Coordination & Scheduling Coordinate and manage project timelines from initiation through completion Schedule and dispatch crews for upholstery, deliveries, installations, moves, and refinishing projects Work closely with warehouse, production, and field teams to ensure project readiness Adjust schedules as needed to accommodate changes, delays, or priority projects Track project progress and ensure deadlines are consistently met Team Collaboration Act as the central point of communication between departments (sales, warehouse, installers, and management) Collaborate with team members to prioritize workloads and ensure efficient operations Provide clear instructions and updates to field crews and internal staff Support a team-focused environment by assisting where needed and stepping into different roles when required Purchasing & Procurement Order furniture, materials, parts, and supplies from vendors and online sources Maintain accurate records of purchases, orders, and delivery timelines Coordinate with suppliers to ensure timely deliveries and resolve any issues Estimating & Documentation Prepare and generate estimates based on information provided by sales representatives Review project details to ensure accuracy before scheduling and execution Manage delivery tickets, work orders, and project documentation Customer Service Communicate with customers regarding scheduling, updates, and project timelines Address questions or concerns in a professional and timely manner Ensure a positive customer experience from start to project completion Additional Duties Assist with warehouse coordination and logistics as needed Maintain organized records and ensure all project information is up to date Support overall daily operations and contribute to continuous process improvement Required Experience Minimum of 1 year of experience in project coordination, scheduling, logistics, or a related field Skills & Qualifications Bilingual (required) Strong communication skills (verbal, written, and active listening) Proven ability to work effectively in a team-oriented environment Leadership skills with the ability to delegate and take initiative Proficient in Microsoft Office (Word, Excel, PowerPoint) Strong time management and multitasking abilities Excellent customer service skills GPS/navigation proficiency Highly detail-oriented and organized Why Join Us Team-driven work environment Opportunity to be involved in a variety of projects
