About Truwear Services Truwear Services is the B2B custom apparel, branding, and nationwide fulfillment division of Truwear, headquartered in Lehi, Utah. We partner with companies, organizations, and brands across the country to source, decorate, and deliver high-quality apparel and promotional goods—backed by Truwear's reputation for premium quality and dependable execution. From single program rollouts to ongoing company stores, our clients trust us to deliver the right product, decorated correctly, and on time. Job Overview Truwear Services is seeking a dynamic and highly organized Operations Coordinator to join our team and drive efficiency across our B2B procurement and decoration operations. In this role, you will own the procurement of apparel and promotional goods for our B2B clients and coordinate decoration scheduling with both our internal decoration team and our network of outsourced decorators. Your proactive approach will ensure seamless order fulfillment, optimized vendor and decorator workflows, and continuous process improvements across the sales-to-delivery lifecycle. This position offers an exciting opportunity to influence key operational functions and contribute directly to the success of our custom apparel and fulfillment business. Responsibilities Procure apparel and promotional goods for B2B clients by sourcing across domestic vendors and decorators, securing competitive pricing, and ensuring timely availability of product to meet client deadlines. Schedule and coordinate decoration jobs with the internal Truwear decoration team and outsourced decorators, ensuring artwork specifications, deadlines, and quality standards are clearly communicated and consistently met. Maintain the flow between a closed sale and the delivery of the finished product, serving as the operational owner from purchase order through fulfillment. Manage purchasing and accounts with all domestic vendors and decorators, including negotiating rates and terms, issuing purchase orders, and reconciling invoices. Lead weekly meetings with account managers to review new wholesale accounts, identify domestic sourcing options, and drive accountability through clear follow-up. Oversee inventory and demand planning to maintain appropriate stock levels of recurring B2B program goods, minimizing excess inventory while meeting client demand. Implement process improvements by analyzing data across procurement, decoration, and fulfillment workflows, identifying bottlenecks, and developing solutions that enhance operational performance. Collaborate with third-party logistics providers and freight carriers to coordinate dispatching, freight forwarding, and on-time delivery to client locations. Maintain accurate records using Asana, Printavo, and SOS Inventory for order processing, decoration job tracking, inventory management, and demand planning. Ensure all supply chain data—inventory, orders, shipments, and costs—is accurately recorded and reconciled across domestic vendors, decorators, and internal teams. Track, analyze, and optimize costs associated with procurement, decoration, transportation, and warehousing to maintain profitability and efficiency. Coordinate quality control checks at receiving and post-decoration to ensure every order meets Truwear's standards before shipping to the client. Maintain up-to-date documentation and ensure compliance with import/export regulations, tariffs, and company standards across all transactions. Build and track KPIs that measure procurement, decoration, and fulfillment performance, and report results to leadership on a regular cadence. Support the broader operations team as needed—including warehouse, customer service, and other functions—based on the demands of the day. Skills Strong knowledge of procurement, vendor management, sourcing, demand planning, and inventory management principles. Proficiency in (or rapid willingness to learn) the Truwear Services operations stack: Asana for project and task management, Microsoft Teams for internal communication, Printavo for decoration job and production scheduling, and SOS Inventory for inventory tracking and purchase orders. Excellent data analysis skills to interpret procurement, decoration throughput, and fulfillment metrics for informed decision-making. Hands-on experience with order fulfillment processes, shipping and receiving procedures, and freight coordination. Ability to manage decoration scheduling and vendor coordination across both internal and outsourced teams in a fast-paced environment. Exceptional attention to detail in purchase orders, decoration specifications, pricing, and inventory accuracy. Strong organizational skills, with the ability to drive and implement complex processes that improve efficiency from sales to warehouse to fulfillment, along with the discipline to maintain those processes over time. Effective written and verbal communication skills for collaborating with internal teams, B2B clients, vendors, and decoration partners. Cross-cultural communication competence for coordinating with overseas manufacturers and domestic teams, with openness to learning best practices for navigating cultural and language differences. Familiarity with, or eagerness to learn, U.S. import/export regulations, tariffs, and documentation requirements for compliant cross-border transactions. Analytical and financial acumen to manage budgets, reconcile accounts, and make informed financial and operational decisions. Team-first mindset, willing to step into warehouse, customer service, or other functions when the day calls for it. Schedule & Logistics Standard hours are 8:30 AM to 5:30 PM, Monday through Friday. Occasional Saturday shifts will be scheduled and rotated among sales operations team members as needed. Once oriented and operating on schedule, there is flexibility on when work is completed—so long as deadlines are consistently met. Performance reviews are conducted on a quarterly basis. Other duties and responsibilities as assigned.
