CUSTOMER OPERATIONS COORDINATOR
Statewide Equipment — Parowan, Utah About Us Statewide Equipment is a full-service heavy equipment dealership in Parowan, Utah. We are an authorized dealer for LiuGong, Kioti, Deutz-Fahr, Dynapac, and Topcon, and we operate a rental fleet serving construction, agriculture, and municipal customers across southern Utah. We sell, service, rent, and support heavy equipment — and we're looking for someone who wants to be at the center of all of it. The Role The Customer Operations Coordinator is the first point of contact for every customer interaction — phone, walk-in, and email. This role manages the front counter, coordinates parts ordering, facilitates rental inquiries, and handles warranty claim submission and tracking. You'll work across every department in the dealership and report directly to the General Manager. This is not a sit-and-answer-phones job. You'll be actively managing parts inventory flow, keeping warranty claims moving, coordinating with technicians and sales, and making sure customers get answers — not runarounds. If you thrive in a fast-paced environment where no two days look the same, this is your role. What You'll Do Customer Service and Front Counter Answer all incoming calls and greet walk-in customers Determine the nature of each inquiry and route to the appropriate department or handle directly Provide status updates to customers on service jobs, parts orders, and rental availability Process customer payments and invoices through the dealership management system Maintain a professional, organized, and welcoming front counter Parts Operations Look up, source, and order parts for service jobs and customer counter sales Receive parts shipments, verify against purchase orders, and stock appropriately Charge parts to customer orders and service work orders in the dealership management system Monitor back-ordered parts and communicate ETAs to customers and technicians Maintain parts room organization and assist with periodic inventory counts Rental Coordination Field rental inquiries and provide availability, rates, and terms Coordinate rental contracts, delivery scheduling, and equipment pickup/return Work with the rental management system to process rental agreements and invoicing Warranty Administration Submit warranty claims to OEM partners through their respective portals Ensure all required documentation is complete before submission: photos, service records, serial numbers, hour meter readings, failed parts Track open warranty claims and follow up at 7, 14, and 30 days Communicate claim status to customers and the General Manager Maintain organized warranty files and document denied claims with denial reasons for appeal General Administration Maintain organized customer and vendor files Assist with scheduling service appointments and managing the service calendar Support the General Manager with administrative tasks as needed What We're Looking For Required Strong customer service skills — friendly, professional, and comfortable on the phone and in person Organized and detail-oriented — you'll be managing parts orders, warranty deadlines, and customer follow-ups simultaneously Comfortable with computer systems — you'll be working in a dealership management system, rental software, and OEM warranty portals daily Ability to multitask in a fast-paced environment without letting things fall through the cracks Reliable, punctual, and self-motivated — this role requires someone who takes ownership of their responsibilities Preferred (Not Required) Experience in a dealership, equipment rental, auto parts, or similar environment Familiarity with parts lookup and ordering (OEM parts catalogs, online parts systems) Experience submitting warranty claims Basic knowledge of heavy equipment or mechanical terminology Experience with dealership management systems (DMS) or inventory management software Compensation and Details Full-time, hourly position Competitive pay based on experience
